- Minimum of 3 years of experience in office management or a related onsite administrative role.
- Proven ability to manage vendor relationships and office budgets efficiently.
- Proficiency with Microsoft Office Suite (Excel, Word, Outlook), Google Suite, and calendar management tools (e.g., Google Calendar).
- Experience with event planning software or project management tools (e.g., Trello, Canva is a plus).
- Strong organizational and multitasking abilities to manage multiple priorities in a dynamic environment.
- Exceptional interpersonal and communication skills, with the ability to liaise with diverse teams and external vendors.
- Demonstrated track record of reducing office supply costs by at least 10% through efficient inventory management.
- Experience in organizing events with participation rates above 90% and staying within budget constraints.
- Ability to resolve operational issues (e.g., building/parking concerns) within 1-2 business days consistently.
- Must be available onsite during office hours (9 AM – 6 PM, Monday-Friday) with occasional flexibility for events.
- Ability to lift office supplies or event materials up to 25 lbs.
- Must have car and drivers license
- Order and restock office snacks, coffee, and supplies.
- Manage Promotional Merchandise "Swag" Inventory
- Maintain a tidy and fully stocked office environment.
- Ensure seasonal decorations and furniture upkeep.
- Coordinate with vendors for services (e.g., Quench) and other maintenance needs.
- Serve as the point of contact for building management to handle building requests and communications.
- Coordinate with parking management to address employee parking tag needs or issues.
- Draft and execute internal communications, including announcements, closures, and engagement efforts.
- Schedule and organize calendar meetings.
- Greet visitors and ensure a welcoming experience.
- Arrange business meals as necessary.
- Organize office engagement events, such as Holiday Party, Thanksgiving Lunch, Halloween Party.
