Halcyon Management is seeking a dedicated and organized Leasing Agent/Assistant Property Manager to join our team. The ideal candidate will assist in the day-to-day operations of our property management activities, ensuring a high level of service to residents and maintaining the property’s standards. This role requires strong administrative skills, attention to detail, and a proactive approach to problem-solving.
- Duties
- Greet and assist prospective tenants in a professional and friendly manner.
- Conduct property tours and showcase available units to potential renters.
- Respond to inquiries via phone, email, and in-person regarding leasing information.
- Process rental applications and conduct background checks on potential tenants.
- Prepare lease agreements and ensure all necessary documentation is completed accurately.
- Coordinate move-in and move-out processes, including inspections and key exchanges.
- Maintain an organized filing system for lease agreements, tenant information, and other related documents.
- Assist with property maintenance requests and communicate with the appropriate personnel.
- Utilize a Customer Relationship Management (CRM) system to track leads and follow up with prospects.
- Collaborate with the administrative team to ensure efficient office operations.
- Assist in managing the leasing process, including property showings and upselling available units.
- Perform data entry tasks accurately into property management software such as Appfolio or Yardi.
- Maintain organized files and documentation related to tenant applications, leases, and correspondence.
- Handle administrative tasks such as responding to tenant inquiries, processing maintenance requests, and coordinating with vendors.
- Support the Property Manager in conducting regular inspections of the property and addressing any issues that arise.
- Assist in preparing reports on occupancy rates, tenant satisfaction, and maintenance needs.
Qualifications
- Previous experience in property management or a related field is preferred.
- Proficiency in property management software such as Appfolio or Yardi is highly desirable.
- Strong data entry skills with a keen eye for detail.
- Excellent organizational skills with the ability to manage multiple tasks simultaneously.
- Strong communication skills, both verbal and written, for effective interaction with tenants and team members.
- Ability to work independently as well as part of a team in an office environment.
- Legal administrative experience is an advantage but not mandatory.
