Position Title: Open Paw Volunteer Manager
Department: Lifesaving
Classification: Full-time, Non-Exempt
Reports To: Training and Behavior Manager
Work Hours: A minimum of 40-hours weekly; however, this position has varying working days and hours depending on scheduling presentations, training and mentoring needs of volunteers. Some weekend days will be required.
Summary
The Open Paw Volunteer Manager role at Halifax Humane Society is critical to our lifesaving efforts. This role is exclusively responsible for directing volunteers to support the Open Paw program and ensuring the delivery of excellent experiences for those volunteers. Success in this role will be determined by one's ability to identify volunteer needs for the Open Paw program and recruit, train, and supervise sufficient volunteers to fulfill those needs. Excellent feedback about the volunteer experience from the pool of active volunteers is also a measure of success.
Essential Duties and Functions
- Advocate and support the programs, policies, and procedures of the Halifax Humane Society at all times.
- Develop and implement strategies to recruit and train sufficient volunteers to fulfill the Open Paw program needs of the Halifax Humane Society.
- Utilizing volunteers, implement and oversee day-to-day requirements of Open Paw manners and skills training program for resident dogs and cats onsite at shelter location and at offsite locations.
- Utilizing volunteers responsible for the delivery of Minimum Mental Health Requirements for all onsite and off-site shelter dogs, cats, puppies, and kittens who are under the care of the Halifax Humane Society.
- Teach animal handling and Open Paw procedures to shelter volunteers.
- Oversee volunteer trainers as they work with individual animals. Ensure consistency in training class curriculum.
- Responsible for all communication with Open Paw volunteers. This includes prompt follow-up with all emails and phone calls (response by the end of the same day) and proactive contacting all new volunteers with a welcome message and instructions about their first scheduled shift.
- Responsible for developing and maintaining the Open Paw volunteer’s sign-up system.
- Responsible for establishing Volgistics accounts for all new volunteers, teaching volunteers how to use Volgistics, and reporting activities monthly from Volgistics platform.
- Responsible for maintaining all supplies needed for volunteers to have a safe and rewarding experience. This includes volunteer t-shirts, cold water/drinks in ice chests at the start of volunteer shifts on hot days and the availability of rain slickers and rain boots on rainy days.
- Designating and managing another HHS staff member to fulfill the supplies requirements when the Open Paw Volunteer manager is not at the shelter.
- Maintains an exceptional level of organization and cleanliness throughout the volunteer den and all volunteer working areas.
- Represents the organization as one of its principal spokespersons and develops community contacts.
- Assist with the orientation and training of volunteers, ensuring all aspects follow the HHS mission and philosophy.
- Update materials as needed and seek approval for public-facing information.
- Maintain volunteer engagement to ensure the success and growth of the Open Paw Program.
- Serve as liaison with all HHS departments to determine and fulfill volunteer needs.
- Assist with volunteer recognition programs to honor volunteers. Assist in resolving disputes and terminate volunteers not fulfilling the required duties.
- Engage with volunteers using HHS designated Volunteer Facebook Page and by assisting with publishing a weekly electronic newsletter for volunteers with relevant information about HHS.
- Work closely and collaboratively with the Volunteer Manager to achieve shared volunteer program goals.
- Manage By Walking Around and being visible. The Open Paw Volunteer Manager is expected to be visible and present to the volunteers every day.
- Using volunteer surveys and program data to analyze program effectiveness and modify and make recommendations for improvement.
- Manage the volunteer database, including timely and accurate data entry, changes, phone append updates, coding, and overall database credibility and maintenance.
- Protect database credibility by maintaining data correctness, routinely checking for errors and duplications, and maintaining files and file structure.
- Other duties as required to support the needs of the Halifax Humane Society
Required Qualifications

- Prefer the completion of a bachelor’s degree at an accredited college or university and computer training or experience.
- Certified Volunteer Administrator (CVA) required or ability to achieve CVA requirements within one year of employment.
- Any acceptable combination of education, training, and/or experience in a supervisory role is helpful.
- Must be willing to work both independently and as a team.
- The ability to deal with a diverse public on the telephone and in person is required.
- Communicate effectively orally and in writing.
- Professional in appearance and behavior. Positive attitude a must.
- Must possess a valid and unrestricted Florida driver’s license with a clean DMV record for the past 3 years.
Knowledge, Skills, and Abilities
- Experience with a volunteer management database system preferred.
- Experience with animal welfare, handling, and training preferred.
- Direct mail experience a plus.
- Demonstrated skill in teaching, mediating disputes, and problem solving.
- Demonstrated program management knowledge, including budgeting principles.
- Demonstrated interpersonal relationship skills, including building alliances with volunteers and community organizations.
- The ability to work compassionately with animals that may be fractious and possibly attempt to bite or scratch.
- Must have or develop a firm understanding of humane issues and the policies of the Society with the ability to present this information to volunteers and while at public events.
- Excellent organizational skills; ability to prioritize and meet deadlines.
- Computer skills in a Windows environment preferred, including Word, Excel, PowerPoint, and PetPoint.

Must be able to multi-task, prioritize, and handle high stress levels. The position requires excellent organizational skills, a high level of accuracy and attention to detail. Must be dependable and have proven ability to meet deadlines. Self-starter with the ability to work independently and follow detailed instructions without needing constant support.
