The Leasing Specialist is responsible for retaining up to date community information, knowledge of apartment availability, pricing, and lease expiration dates in order to effectively market, tour and lease apartments while maintaining the highest levels of occupancy possible. In addition to building positive relationships with incoming new residents, the Leasing Specialist must maintain resident satisfaction in the community and work closely with community managers.
Administrative Responsibilities:
- Maintain up-to-date resident and prospect information within Yardi.
- Assist vendors with keys from the KeyTrak system on a daily basis
- Assist couriers delivering packages with Luxer One codes/signing for packages
- Provide general clerical assistance to the community office acting as a primary receptionist, logging messages for management in their absence, contacting residents with reminders of lease renewals and relaying maintenance messages to residents per maintenance request
- Communicate daily updates to security upon their arrival at 4 p.m. Monday through Friday
- Respond to all requests for guest suite and social lounge reservations
- Manage cleaning of up to five guest suites by communicating with Intact on scheduling cleans
- Manage Airbnb reservations, upon request, for current guest suites listed as Airbnb
- Manage and update storage lists for all storage lockers in the community by maintaining a list for residents on first come first serve basis. Complete monthly audit of storage lockers and notify residents of new openings. Update all leases accordingly.
- Respond to all resident, vendor, management and owner emails in a timely manner
- Learn and ensure compliance with all company, local, state and federal safety rules
- Ensure that unsafe conditions are reported and corrected in a timely manner.
Leasing Responsibilities:
- Greet all prospects and qualify by covering all criteria (asking questions, utilizing guest cards, etc.)
- Immediately record all telephone and in-person visits on appropriate guest cards and enter all information into Yardi.
- Walk prospects through the application process and monitor screening results in RHR. Once approved, generate their new lease and coordinate lease signings.
- Ensure apartment is ready for resident upon agreed move in date
- Follow-up with prospects that did not close and attempt to close the sales again. If unable to help prospect, refer them to sister communities to meet their needs.
- Prep move in bags and gifts prior to their arrival
- Assist in monitoring advertising effectiveness
- Distribute all company or community issued notices
- Always Represent the company in a professional manner
Resident Retention
- Receive all telephone calls and in-person visits. Listen to resident requests, concerns and comments
- Quickly complete maintenance service requests. Inform the maintenance staff immediately. Answer questions for residents about the community, repairs, rent, rules, etc. Follow up on a timely basis if unable to respond to residents on all matters
- Contribute to the cleanliness and curb appeal of the community on a continuing basis
- Assist the leasing/marketing manager with resident functions and social events monthly. Attend functions and participate as host.
Marketing
- Place, remove/update banners, signs and billboards
- Assist the leasing/marketing manager in updating monthly newsletter
- Participate as host for Jazz Festival
- Participate as host for Music in Mears
