Hamilton-Madison House (HMH) is the leading provider of behavioral health services for New York City’s Asian community and the second largest provider in the country. HMH serves nearly 1,000 community members through a comprehensive program model that understands and incorporates the strengths of individual cultures and addresses the stigma related to mental illness. Services range from psychological services; personalized recovery-oriented services for individuals with mental illness; recovery programming for addiction in six languages and seven dialects; supportive housing for people with mental health issues; and training and internship opportunities for graduate students in social work, mental health counseling, and psychology. Our team of over 30 full-time and 16 part-time staff speak Cantonese, Mandarin, Fujianese, Korean, Japanese, Vietnamese, Toishanese, Taiwanese, Spanish, Khmer, and Cambodian. The Office Manager is responsible for the division’s operational functions and administrative support for the Assistant Executive Director

The Behavioral Health Administrative Coordinator will oversee the day-to-day administrative and operational functions including oversight of administrative assistants, support and facility staff. This newly created position reporting to the Assistant Executive Director will play an integral role for our new CONNECT program, a City-funded demonstration project to provide rapid access to mental health services in a more flexible and holistic way with the community and the whole person outside the clinic walls and beyond the traditional doctor/therapist-patient interaction. 

Responsibilities:

  • Oversee all day-to-day administrative functions for the division including supervision of administrative assistants and oversight of facility staff, customer service, client outreach, and liaison between internal and external stakeholders. 
  • Assist in creating, modifying and implementing department and agency policies, procedures, and workflows designed to improve behavioral health operations.
  • Provide a range of administrative and special project support for the Assistant Executive Director including scheduling, completing administrative paperwork, field and triage incoming requests, drafting internal and external correspondence, and participating in compliance and performance improvement activities.
  • Assist billing manager in all aspects of a billing cycle.
  • Work closely with the billing team and administrative team to ensure that all administrative staff follow the agency’s revenue cycle policy and procedures.
  • Work collaboratively with program leaders and clinical teams to implement solutions to barriers in care coordination and service delivery.
  • Organize a wide range of department activities from staff meetings, new employee orientations, community outreach events, and client meetings.
  • Serve as expert on EMR/PMS systems in order to compile relevant department data to support analysis of program effectiveness and support the improvement of department operations.
  • Maintain knowledge of regulatory and contractual guidelines to ensure program compliance.
  • Prepare the program for regular auditing from government funders and regulators.
  • Serve as a liaison between the behavioral health team and the rest of the organization (other divisions and all administrative units).

Minimum Qualifications:

  • Bachelor’s degree in healthcare related field or equivalent experience 
  • Minimum 2-3 years of experience in an operations management role preferably within the behavioral health services field in New York City 
  • Experience with government and performance-based contract management for human services organizations 
  • Experience working with high performing, cross functional teams 
  • Results-oriented, self-directed, ability to prioritize competing demands 
  • Knowledge and proficiency in Microsoft Office Suite (Word, Excel, and PowerPoint), electronic medical record (EMR), and willingness to learn new systems as needed
  • Exceptional organizational and time management skills, including ability to maintain well- organized and administrative and operational systems, excellent phone demeanor, direct communication skills with clients and family members, government agencies, and agency staff 
  • Demonstrated cultural proficiency and experience working with communities of color and or communities in urban, underserved neighborhoods that bear a disproportionately high burden of illness 

Compensation: $60,000-$70,000 depending on qualifications and experience

Hours:  Monday to Friday, 9am-5pm, 37.5 hours per week
