The Hamilton-Wenham Regional School District is searching for an experienced administrative assistant that exhibits excellent judgment and strong communication skills to work in the Buker Elementary School. Under the supervision of the Principal, the admin asst performs administrative functions to ensure the efficient operations of the front office. Duties include monitoring and tracking of student attendance, greeting parents and visitors and responding to inquiries and questions, answering office phones and forwarding messages, responding to teacher and staff requests, preparing reports as requested, documenting student discipline issues, assisting with student registration, filing, and assisting teachers with office administrative functions. Job DescriptionAn Elementary School Administrative Assistant shall carry out all school related activities as directed by the principal.
The admin asst shall facilitate the efficient running of the school office and foster good public relations. This position is accountable for performing routine office and reception duties. Care, organization, accuracy in detail, and requires individual judgment and personal pride and responsibility in the application and enforcement of schools rules/regulations, mission, vision, and guiding principles.Job Duties and Responsibilities Interact with all members of the school community in a professional and positive manner.Performs secretarial work for school principal, including typing and preparing correspondence, handbooks, reports and evaluations. Performs routine tasks such as filing typing, faxing, copying and data entry.Prepare teacher/staff correspondence, field trip permission slips and other documents as needed.Assists with recording student attendance in Aspen or other appropriate software.
Documents and corrects absences, late arrivals, dismissals and other related attendance issues. Generates attendance reports as required.Maintains staff and student databases, attendance records, and student cumulative folders.Processes student discipline letters including typing, mailing and filing. Maintains discipline log and detention report.Answers phone and responds to questions from parents, students and other District personnel. Greets visitors and responds to questions, concerns, etc.
Forwards messages and property to students from parents.Maintains school security by screening visitors and monitoring the front door Prepares and tracks purchase orders, and maintains account balances.Maintains school business ledger of all accounts.Maintains and assists staff with supply orders for school equipment and basic office equipment.Coordinates with other personnel to arrange for emergency substitute teachers.Compiles list of potential substitutes, volunteers and tutors.Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the school.
