Role Purpose
The Billing Specialist provides key financial and billing support to legal teams, focusing on matter management and pricing. This role includes active engagement with partners and matter managers across the lifecycle of transactions. You will play a central role in managing billing processes, tracking budgets, supporting reporting requirements, and ensuring timely and accurate client invoicing. This position acts as a trusted liaison for legal teams and ensures adherence to billing guidelines, accounting regulations, and tax compliance.
Key Responsibilities
- Collaborate with partners to forecast billing and ensure monthly targets are met.
- Review billing guides, manage time transfers and write-offs, and oversee disbursement processes.
- Conduct final invoice reviews to ensure accuracy and alignment with client guidelines.
- Support financial systems and provide training when necessary.
- Monitor key metrics such as working capital days and flag at-risk matters.
- Review inventory and client balances, escalating issues when needed.
- Assist with matter setup and ensure billing rates are accurate.
- Work with cash allocation teams and manage client money balances.
- Track and report on write-offs and disbursement balances.
Relationship Management
- Serve as a trusted business advisor to assigned partners and fee earners.
- Prepare financial materials for client meetings and support client-specific reporting.
- Assist with drafting matter budgets and activating monitoring alerts.
- Respond to ad hoc financial and operational reporting requests.
Team Structure
This role reports to a Finance Practice Manager and collaborates closely with partners, matter managers, and cross-functional support teams.
Key Requirements
- Proactive, driven, and detail-oriented, with strong communication and relationship-building skills.
- Strong analytical mindset and commercial awareness.
- Proficient in Microsoft Office (Excel, Word, Outlook, PowerPoint).
- Able to manage competing priorities under pressure.
- Experience with legal or professional services billing systems (e.g., 3E) is beneficial.
- Accountancy qualifications and supervisory experience are a plus, but not required.
