Job Title: Personnel Secretary
Reports to: Director of Human Resources
Qualifications:

Duties & Responsibilities:
- Responsible for preparation and maintenance of personnel files, including I-9’s, medical information, etc. for all district staff
- Ensure accurate completion of necessary forms and records for newly hired employees
- ACA Reporting – measuring eligibility of employees and tracking. Submitting letters of eligibility to employees and insurance paperwork.
- Prepare REP Report
- Mandatory attendance at out of district meetings and trainings related to job function
- Update personnel information with data from approved Board of Education meeting minutes
- Update employment contract data and distribute to employees
- Monitor teacher certification for compliance
- Prepare and publish job postings for all district vacancies
- Verify qualifications for various positions
- When necessary, complete process with Michigan Department of Education for special teaching permits
- Responsible for fan out/local police department, television and radio stations for inclement weather, emergency school closings
- Familiarity with interpretation of Master Agreements for the bargaining units
- District manager/contact for AESOP & PESG and AppliTrack
- Liaison between PESG and District
- Submit biweekly hourly payroll to PESG
- Responsible for managing FMLA record keeping
- Responsible for submitting new salaries in a timely manner to the Life and LTD Insurance carrier. Also adding and deleting employees from the Life and LTD insurance carrier
- Responsible for making sure that payroll coordinator and accountant are notified when an employee is out for an extended length of time and the return of said employee back to regular work schedule. Also, notify payroll and accountant of any doctor notes excusing employee the day before or after a holiday.
- Responsible for employee accident reporting/Workers’ Compensation claims/OSHA forms
- Receive, sort and file resumes and applications for all district vacancies
- Maintain copies of interview/employment forms
- District LASO (Local Agency Security Officer)
- Responsible for incoming field trip, vacation, personal day, paid time off, and union day requests
- Provide administrators with various employee information
- Establish and monitor files for positions advertised; schedule appointments for interviews and meetings
- Maintain files for certificated employees
- Assist in administering employment testing
- Arrange posting of classified ads including job openings, budget hearing, etc.
- Responds to inquiries for employment verification
- Send correspondence to various classifications of applicants as needed
- Perform other duties as assigned by the Director of Human Resources and Superintendent of Schools
Salary and Hours:
- Grade 2, Secretarial Classification, AFSCME, Local #257 Contract
- 40 Hours per week
