We are looking for a Front Desk Receptionist to manage our front desk on a full-time basis and to perform a variety of administrative and clerical tasks.
You will be the first point of contact for our company, welcoming both in-person visits and callers. Your duties include offering administrative support across the organization. You will also coordinate front-desk activities, including distributing and sending out mail, filing, and redirecting phone calls.
To be successful as our Receptionist, you should: have a pleasant personality; provide an excellent experience each and every time a client comes to our office; be able to deal with emergencies in a timely and effective manner; and provide overall clerical support for our team.
Ultimately, your duties and responsibilities are to ensure the front desk welcomes guests positively and executes all administrative tasks to the highest quality standards.
Responsibilities
- Pleasantly and professionally greet and welcome guests as soon as they arrive at the office
- Direct callers and clients to the appropriate person
- Answer, screen, and forward incoming phone calls from a variety of lines
- Ensure reception and conference areas are tidy and presentable, with all necessary stationery and material (e.g. pens, forms, and brochures) continuously stocked and available
- Provide and document basic and accurate information in-person and via phone/email interactions
- Receive, sort, and distribute daily mail/deliveries
- Maintain office security by following safety procedures and controlling access via the reception desk
- Update attorney calendars and facilitate meetings
- Perform other clerical receptionist duties such as filing, photocopying, transcribing, and faxing
- Contribute to the team effort by accomplishing tasks as directed and supervised
- Prepare correspondence and evidence packets for hearings
- Be a motivated self-starting team player
- File legal documents with surround courts for paralegal and attorneys
- Mail and send out legal documents for paralegals and attorneys
Requirements
- Proven work experience as a Receptionist, Front Office Representative, or similar role
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Powerpoint)
- High school degree
- Nevada Notary Commission or willing to obtain one within the first four (4) months of working
- Experience with filing in the Nevada courts and familiarity with local rules and state statutes
Job Type: Full-time
Pay: $15.00 - $19.00 per hour
