We are looking for a responsible Personal Assistant to provide personalized secretarial and administrative support in a well-organized and timely manner. You will work on a one-to-one basis on a variety of tasks related to manager’s working life and communication.
Hands Of Perfection In Home Care L.L.C in Cincinnati, OH is looking for one personal assistant to join our team. Our administrative office is located at 11427 Reed Hartman Hwy,. Our ideal candidate is a self-starter, punctual, and engaged.
Responsibilities
· Act as the point of contact between the manager and internal/external clients
· Screen and direct phone calls and distribute correspondence
· Handle requests and queries appropriately
· Manage diary and schedule meetings and appointments
· Make travel arrangements
· Take dictation and minutes
· Source office supplies
· Produce reports, presentations and briefs

· Answering calls and routing them to the right person
· Make travel arrangements for the executive officer they work for and keeping track of their itineraries.
· Planning and scheduling meetings.
· Recording meetings (if required).
· Researching and organizing data to represent the senior management, which may include directors, executives, and committees.
· Compiling expense reports.
· Performing bookkeeping tasks.
· Handling memos, reports, invoices, and related documents, including sensitive information.
· Keeping confidential information.
· Screening visitors and deciding if they should be allowed to meet with the executives.
- Going through the incoming documents (memos, invoices) and redistributing them.
- Office duties such as sourcing office supplies and handling the filing system.
- Handling and redistributing faxes and emails.
- Providing complete administrative support.
- Managing and recording the supply needs.
- Acting as a virtual assistant.
- Using technical tools and software such as Microsoft Office, Suite, Outlook, especially text processing software and Excel spreadsheets.
Requirements and skills
· Previous Administrative Experience Required: Calendar Management, Budget Management, Company structure, Discretion, Office Administration, Expense management, Meeting management, Microsoft Applications, Travel Management.
· Proven work experience as a Personal Assistant or similar role
· Access to an updated PC or laptop
· Access to a printer and fax machine
· Access to a mobile device
· Knowledge of office management systems and procedures
· MS Office and English proficiency
· Outstanding organizational and time management skills
· Up-to-date with latest office gadgets and applications
· Ability to multitask and prioritize daily workload
· Excellent verbal and written communications skills
· Discretion and confidentiality
· Associate’s degree in communications and/or business administration preferred
· PA diploma or certification an advantage
· Interpersonal skills
· Attention to detail
· Ability to be highly flexible and handle a high work volume
· Willingness to travel on occasion and assist manager if necessary
