Job Duties/Scope of Work:
Hanford Mission Integration Solutions (HMIS) is seeking a skilled Records Management Specialist to join our Records Management program, which serves the Hanford Site, including the Department of Energy (DOE) and its contractors. The Records Management Specialist will play a pivotal role in defining requirements, developing procedures, and evaluating processes within the Records Program. This includes implementing corrective actions based on assessment findings. The role involves collaboration with HMIS's critical subcontractors and senior management, making it an integral part of supporting the One Hanford mission.
The selected candidate will work closely with the records program manager and provide input to the strategy for the Records Management program. The specialist will maintain the policies and procedures in compliance with all legal, regulatory, and quality assurance requirements, which include both NARA and DOE directives.
Essential job duties include:
- Collaborate closely with the Records Program Manager to contribute to the strategic direction of the Records Management program.
- Support the Records Program by defining requirements, developing procedures, and conducting process assessments.
- Proactively research and identify necessary changes to policies and procedures to ensure they are maintained in alignment with legal, contractual, regulatory, and quality assurance standards to adhere to Site, DOE, and NARA directives.
- Implement and monitor corrective actions arising from process evaluations, ensuring continuous improvement.
- Partner with key stakeholders, including subcontractors and senior management, to achieve program objectives and support organizational goals.
- Manage records per NARA retention schedule requirements.
- Ensure appropriate disposition of records.
- Ensure comprehensive understanding and application of procedure systems to maintain compliance with records requirements.
- Develop and implement training programs for staff on records management procedures and requirements.
- Analyze and improve records management processes to enhance efficiency and compliance with regulatory standards.
Basic Qualifications
*Bachelor's Degree and 6 years of records management experience to include customer interaction experience, or an equivalent combination of education and experience.
- Must possess the ability to interface well with technical customers, business-oriented teaming partners, and infrastructure and integration teams.
- Demonstrated understanding of records management lifecycle concepts and application.
- Demonstrated understanding of NARA requirements.
- Must possess the ability to understand, interpret and implement site policies and procedures, DOE directives, and regulatory requirements.
- Must possess strong analysis skills to interpret procedural and DOE requirements.
- Must possess strong writing and editing skills to produce high quality reports with clarity and precision in a timely manner.
- Must be eligible to obtain a security clearance.
