Title: Intake and Assessment Coordinator
Reports to: Practice Manager and Owner
Position Summary:
The Intake and Assessment Coordinator will oversee the client management activities of the office and organize client services within the practice. General duties include scheduling appointments, informing clients of details related to their appointments, and handling all intake/new client calls.
Responsibilities:
- Coordinate schedules for clinicians and manage the client appointment process.
- Manage the full client intake process.
- Assess needs of incoming clients to match with appropriate clinicians within the practice.
- Coordinate referrals within and outside of the practice.
- Manage communication with referring providers (outreach coordinator and clinicians)
- Manage client waitlist
- Inform clients of appointment details and update providers re: their clients
- Scheduling email inbox: Manage client needs and communication such as ROIs
- Send appropriate intake and consent forms through client Therapy Notes portal
- Streamline and create procedural systems to increase efficiency and effectiveness.
- Coordinate all psychoeducational assessments (scheduling, intakes, materials, documentation, rating scales).
Desired Skills, Knowledge, and Abilities:
- Three or more years' experience in a customer service role, ideally in a medical setting
- Outstanding written and oral communication and interpersonal skills, including expertise in email etiquette
- Excellent follow-up skills
- Detail-oriented and conscientious
- Proficiency with Office 365 and experience using various software with an emphasis on accuracy and efficiency.
- Empathetic and courteous nature as this position requires frequent communication with clients.
- Familiarity with HIPAA privacy laws.
- Ability to thrive in a setting with multiple, competing priorities.
- Strong organizational and time management skills.
- Able to accept constructive feedback and have a growth mindset.
Job Type: Full-time
Pay: $24.00 - $26.00 per hour
