Who You Are – HR Payroll & Operations Administrator

You are a dynamic, detail oriented, intuitive person with the ability to develop relationships, build rapport and become a trusted team member. What You'll Do

  • Process and reconcile payroll every other week, as well as off-cycle payrolls as needed. Work with payroll vendors and tax agencies to ensure compliance with all state and federal tax requirements and laws. Execute required quarterly and year-end tasks.
  • Create and run reports from HRIS system(s) including payroll reports, vacation accrual reports, and other reports requested by the organization.
  • Provide administrative support, including maintaining personnel and other departmental files. Assist with document collection for audits. Maintain and organize the Department's file room, including migration of files to digital platform.
  • Process transfers, promotions, and terminations within the organization. Respond to employment verifications, wage verifications, unemployment questionnaires, and other inquiries.
  • Assist with the enrollment of employees into HFCU's benefits plans and the coordination of the HR Department's Open Enrollment related activities.
  • Act as the primary system administrator within HFCU’s HRIS system. Configure and customize the HRIS system to meet company needs and workflows, including but not limited to managing user access levels; managing the time solutions and electronic filing systems; and assisting with set-up of the annual performance and compensation cycles. Provide technical assistance to troubleshoot and resolve user issues.
  • Process department bills and reconcile numbers with Finance.
  • Act as HFCU’s point of contact for the administration of Leaves of Absences with HFCU’s outsourced LOA vendor. Act as a backup point of contact for all HFCU employee inquiries.
  • Support departmental initiatives, including engagement, wellness and other org-wide projects.

Knowledge/Skills/Experience

  • Strong desire to work in a purpose-driven organization
  • 3-5 years of similar or related administrative experience
  • 2 years of payroll experience
  • Excellent problem-solving and analytical skills with a focus on continuous improvement and documentation of processes
  • Ability to work independently, prioritize tasks, and meet deadlines in a fast-paced environment
  • Understanding of HR practices and compliance requirements preferred
  • UKG Pro experience preferred

Education/Certifications/Licenses

  • FPC Certification preferred
  • A two-year college degree or completion of a specialized course of study at a business or trade school equivalent to approximately 64 credit hours.

Physical Requirements

Is able to bend, sit, and stand in order to perform primarily sedentary work with limited physical exertion and occasional lifting of up to 10 lbs. Must be capable of climbing / descending stairs in an emergency situation. Must be able to operate routine office equipment including computer terminals and keyboards, telephones, copiers, facsimiles, and calculators. Must be able to routinely perform work on computer for an average of 6-8 hours per day, when necessary. Must be able to work extended hours or travel off site whenever required or requested by management. Must be capable of regular, reliable and timely attendance.

WORKING CONDITIONS

Must be able to routinely perform work indoors in climate-controlled shared work area with minimal noise.

Mental And/Or Emotional Requirements

Must be able to perform job functions independently or with limited supervision and work effectively either on own or as part of a team. Must be able to read and carry out various written instructions and follow oral instructions. Must be able to complete basic mathematical calculations, spell accurately, and understand computer basics. Must be able to speak clearly and deliver information in a logical and understandable sequence. Must be capable of dealing calmly and professionally with numerous different personalities from diverse cultures at various levels within and outside of the organization and demonstrate highest levels of customer service and discretion when dealing with the public. Must be able to perform responsibilities with composure under the stress of deadlines / requirements for extreme accuracy and quality and/or fast pace. Must be able to effectively handle multiple, simultaneous, and changing priorities. Must be capable of exercising highest level of discretion on both internal and external confidential matters.
