What you'll do

  • Oversee Title Specialists; direct staff in completing title applications and all title-related paperwork including, but not limited to, add lien forms, title applications, lien releases from other institutions, insurance claim documentation and the recording of paper titles. Responsible for scheduling, to ensure the title area is staffed and fully operational during normal business hours, interview and select new staff, assess and manage performance and provide ongoing training, assistance and advice to the title specialists.   • Manage a high volume of daily calls, emails, Titles Team channel and address a host of challenging title-related concerns; review notes and determine the best solution; explain in detail so all parties understand and are aware of the situation; formulate an immediate plan of action and promptly respond to bring each to a fitting conclusion.
  • Ensure that HFCU maintains an orderly and accurate filing system for securing (8,000 ) paper titles for multiple states and that all new paper titles are entered into VINtek, with strict attention to detail in matching titles to collateral. Maintain VINtek system for logging and tracking of (approaching 30,000) ELT titles for multiple states; maintain system notes for all means of communication, to ensure all information is up-to-date. Conduct a daily review of all VINtek reports, look for errors, and rectify them accordingly.
  • Maintain tracking of all payment protection claims. Gather necessary in-house information and obtain information from the member and insurance company to complete required forms and file with the coverage provider. Issue letters of guarantee to insurance companies regarding total loss claims; update Collections area accordingly. Follow up on each letter of guarantee, process payment and ensure timely title release. Maintain tracking of all GAP/total loss claims.   • Efficiently track all missing titles; research loan documentation and proficiently communicate with insurance companies, registry offices (all states), members, dealerships, Gravity Lending and other financial institutions and HFCU staff to locate and obtain titles to guarantee perfected liens.
  • Process weekly closed loan report; release titles due to be released and file those determined to have a later release date; execute releases on the correct date.
  • Guide members who need assistance in selling their vehicle; advice as to when will lien will be released, how to get a duplicate title, how to change a name on a title, etc. Provide members with relevant information and detailed instructions pertaining to their particular situation.
  • Ensure all title-related mail is processed; determine the needs of each request and recognize variables in processing, as each may require a different solution depending on state, type of collateral, etc.
  • Process paperwork; ensure documentation is properly completed. Accurately and efficiently process daily title releases Review and determine correct title release date, execute timely title releases and process them (either manually or via EFT) and issue them to the appropriate party.
  • Keep abreast of regulations, current state requirements, and changes to forms; update Confluence as needed. Educate HFCU staff to use Confluence for the most current forms and information. Guide QC staff and loan officers as to which forms are required for which loans.
  • Assist Commercial Lending area concerning the proper way to secure business collateral. Assist during mergers with other credit unions; ensure collateral for each acquired loan is properly secured or take the means necessary to secure the liens and obtain the titles.
  • Understand Consumer Lending LOS and Core systems to assist with members, staff and outside institutions questions around Titles. Participates in projects as required. Processes system changes and upgrades and conduct testing on those changes. Work to resolve any system issues. Provides internal staff with system-upgraded training.
  • Collaborate with the Consumer Lending management team to understand all vehicle type documents, and how to make the process to secure HFCU secured interest is in line with all our compliance requirements and strategizes on how to streamline the Title process.
  • Perform such additional tasks as may be required or requested from time to time.

Knowledge/Skills/Experience Required: 

  • A minimum of 3 years of financial experience, of which at least one year was working in a busy loan department.
  • Knowledge of consumer loans, specifically vehicle loans, is necessary. 
  • Experience with the ELT title system VINtek is preferred.
  • Must be detail oriented and have strong organizational and member service skills.
  • Able to use various types of office equipment, including a computer terminal. Microsoft Excel experience is highly preferred.

Education/Certifications/Licenses

  • A high school degree or equivalent

PHYSICAL REQUIREMENTS
Is able to bend, sit, and stand in order to perform primarily sedentary work with limited physical exertion and occasional lifting of up to 10 lbs. Must be capable of climbing / descending stairs in an emergency situation. Must be able to operate routine office equipment including computer terminals and keyboards, telephones, copiers, facsimiles, and calculators. Must be able to routinely perform work on computer for an average of 6-8 hours per day, when necessary. Must be able to work extended hours or travel off site whenever required or requested by management. Must be capable of regular, reliable and timely attendance.

WORKING CONDITIONS
Must be able to routinely perform work indoors in climate-controlled shared work area with minimal noise.

MENTAL AND/OR EMOTIONAL REQUIREMENTS
Must be able to perform job functions independently or with limited supervision and work effectively either on own or as part of a team. Must be able to read and carry out various written instructions and follow oral instructions. Must be able to complete basic mathematical calculations, spell accurately, and understand computer basics. Must be able to speak clearly and deliver information in a logical and understandable sequence. Must be capable of dealing calmly and professionally with numerous different personalities from diverse cultures at various levels within and outside of the organization and demonstrate highest levels of customer service and discretion when dealing with the public. Must be able to perform responsibilities with composure under the stress of deadlines / requirements for extreme accuracy and quality and/or fast pace. Must be able to effectively handle multiple, simultaneous, and changing priorities. Must be capable of exercising highest level of discretion on both internal and external confidential matters.
