We are assisting our client, a Private Family Office in Washington DC with their search for a Principal Support Administrative Manager.
Summary:
The Principal Executive Support Manager plays a key role in optimizing the time and effectiveness of a Principal. This role collaborates across multiple departments and external organizations, including legal, public relations, travel, and event management, to anticipate needs and develop innovative solutions. Additionally, this position is responsible for high-level coordination, communication, and acting as a liaison between the Principal and a broad network of professional and personal contacts.
Core Responsibilities
Administration:
- Manage executive calendars, ensuring strategic scheduling and prioritization of appointments and engagements.
- Prepare and administer materials, documents, and communications with a high level of accuracy and confidentiality.
- Coordinate meetings, track action items, and prepare materials for internal and external engagements.
- Oversee contact management systems to ensure updated and accurate records.
- Plan and execute events with precision, working with vendors and internal teams to ensure seamless operations.
Strategic Calendar Management:
- Align multiple schedules with the Principal’s, including those of other key stakeholders, ensuring seamless integration of activities.
- Adapt to last-minute changes while effectively communicating updates to all relevant parties.
Travel Management:
- Coordinate domestic and international travel arrangements, ensuring smooth execution of itineraries.
- Oversee travel budgets and reconcile expenses.
- Conduct research and logistical planning for travel, including onsite preparations when required.
- Manage relationships with private clubs and venues, coordinating activities and tracking preferences.
Process & Communication:
- Maintain strict adherence to executive preferences, operating procedures, and best practices.
- Act as a liaison between the executive and internal/external stakeholders to facilitate smooth communication.
- Manage and administer digital documents and signature approvals.
- Draft and oversee professional and personal correspondence as needed.
External Relationship Management:
- Coordinate appointments and manage relationships with service providers, business contacts, and professional advisors.
- Oversee scheduling and communication with healthcare and personal service providers.
- Research vendors and providers aligned with executive interests and requirements.
- May oversee contract staff and vendors to ensure operational efficiency.
Budget Responsibilities:
- Manage financial transactions and expense reporting, ensuring budget adherence and documentation accuracy.
Education and Experience
Education:
- Bachelor’s degree in Business, Public Relations, Hospitality, or a related field preferred.
Experience:
- 6 years of experience in high-level executive support or business management.
- Proven ability to work in dynamic environments requiring confidentiality and discretion.
- Strong experience with Microsoft Office Suite, document preparation, and CRM tools.

Working Conditions & Travel

- 3 days a week in office (Washington DC, Red Line Stop)
- Some domestic and international travel required.
- Flexibility to work evenings, weekends, and holidays as needed.

Location: Washington, DC
Compensation & Benefits: Any offers will vary depending on several factors, including relevant experience, knowledge and skills, education, and other qualifications. The starting pay range for this position is $125,000 - $135,000.
