We are currently assisting our client, a foundation focused on improving opportunities for young people, with a search for a Project Coordinator.
JOB SUMMARY:
The Project Coordinator will serve as behind the scenes project support for the team. The ability to track and prioritize complex work streams is a must. The right candidate will be a detail-oriented planner with the demonstrated ability to respond effectively and efficiently to emergent requests and handle communication in a clear and effective way.
This position is ideal for someone who thrives in a lean and horizontal structure: no task is too big or too small.
Key Responsibilities:
Project Coordination
- Serve as the primary contact for administrative needs, including vendor coordination, accounts payable, and internal communications.
- Provide meeting support: schedule calls, assist with agenda preparation, capture notes, assign, and track action items.
- Manage project calendars, monitor timelines and progress, and track activities proactively.
- Initiate and track contracts and agreements in collaboration with the team.
- Lead the Content Development project, overseeing organization and progress.
- Track budgets for contractors, vendors, and project-related expenses.
- Document lessons learned and archive records upon project completion.
Partnership Support
- Ensure seamless management of meetings, deadlines, presentations, and logistics, including calendar management, scheduling follow-ups, organizing external meetings, and providing travel support as needed.
- Facilitate proactive information flow between the Managing Director, Program Managers, Specialists, and Leadership.
- Assist with special projects as assigned.
Communications Support
- Support the development and execution of partner engagement and communication strategies.
- Assist with website copywriting, data entry, and database maintenance.
- Aid in marketing programs across email, mobile apps, websites, social media, and other digital channels.
- Coordinate the production of documents and presentations, ensuring proofreading and version control.
- Prepare accurate and timely communications, including partnership recaps, project timelines, estimates, and status reports.
Required Experience and Education:
- Bachelor’s degree in business, communications, education, or related field preferred; CAPM certification or equivalent experience.
- 2 years in project/marketing coordination; nonprofit or philanthropy experience is a plus.
- Experience managing vendors and coordinating internal and external project teams.
- Preferred knowledge of early childhood principles, parenting engagement, and multi-channel marketing strategies.
- Proficient in MS Office (Word, PowerPoint, Excel, Outlook), Smartsheet; GA4 and CMS familiarity a bonus.
- Strong writing, grammar, spelling, and proofreading skills required.
- Excellent communication and interpersonal skills for maintaining professional relationships and effective verbal/written interactions.
- Ability to prioritize, work independently, and adapt to shifting priorities with sound judgment.
- High integrity and discretion in handling confidential information, with professionalism in interactions at all levels.
Location: Seattle, WA, Hybrid work schedule in office Tuesday – Thursday each week.
Length of Assignment: 5 months
Compensation Range: $35 - $45/hour depending on experience.
