The Healthcare Administrative Analyst plays a key role in ensuring the smooth operation of the healthcare center by collaborating with the Senior Leadership team on administrative systems, coordinating clinical schedules, reviewing and monitoring clinical data to improve patient outcomes and drive positive organizational change. This role requires an ability to manage time effectively, willingness to learn and master various systems and technology, ability to capture data and report in dashboards, scorecards and other ad-hoc reports. , Attention to detail, and the ability to multitask effectively in a fast-paced healthcare environment is a must
Key Responsibilities:
- System and Scheduling Management:
- Manage and maintain electronic health record (EHR) systems to ensure accurate patient data entry and updates.
- Monitor scheduling of appointments for healthcare providers and ensure the clinic’s calendar is organized and accurate.
- Make adjustments to provider schedules when needed.
- Monitor and report on patient flow by monitoring appointment times, adjusting schedules as necessary, and communicating changes to patients and staff.
- Monitor and report the efficient operation of the scheduling system, including resolving conflicts and minimizing scheduling errors.
- Administrative Support:
- Observe and validate data on clinic efficiency to include patient workflows and recommend improvement processes.
- Write and Maintain SOP’s related to effective clinical operations
- Manage patient survey process and interpretation to include net promoter scores and other related survey materials
- Evaluate, write, and present Key performance indicators and assist in the onoing development of dashboards, scorecards, and healthcare reporting
- Serve primary point of contact for team members needing in-depth assistance with technology platforms (i.e. AthenaEHR, DRVRS, SyncTimes, etc)
- Facilitate provider peer review process
- Manage incident reporting process
- Data Management for records related to HRSA operational site reviews, and preparation for PCMH and UDS reporting
- follow-up instructions.
- Compliance and Quality Assurance:
- Ensure adherence to organizational policies, healthcare regulations, and quality standards.
- Assist in preparing and organizing audits, surveys, and reports for regulatory compliance and quality assurance purposes.
- Monitor and track the clinic’s performance metrics related to patient satisfaction, appointment scheduling efficiency, and other key operational factors.
Required Qualifications:
- Associate's degree or equivalent experience in healthcare administration, business, or related field.
- Minimum of 2 years of experience in an administrative or healthcare setting, with a focus on scheduling, office management, or systems coordination.
- Proficiency in electronic health record (EHR) systems, medical scheduling software, and Microsoft Office Suite to include Excel, Word and PowerPoint.
- Strong organizational skills with the ability to manage multiple tasks and priorities.
- Excellent communication skills, both verbal and written, with a customer service-oriented approach.
- Knowledge of HIPAA compliance and healthcare regulations.
Preferred Qualifications:
- Bachelor's degree in healthcare administration or related field.
- Experience working with AthenaEHR
- Certification in Healthcare Administration (e.g., CAHIMS, CHC).
Physical Requirements:
- Ability to sit or stand for extended periods of time.
- Occasional lifting of up to 20 pounds, depending on office needs.

EXPERIENCE/SKILLS
Required:
- 3 of related prior experience in the healthcare industry
- 1 years working with large databases, data verification, and data management.
- 1 years of IT (Information Technology) experience
- Related prior experience should include change process experience (LEAN sigma six or equivalent).
- Demonstrated proficiency in data analytics.
- Preferred:
- Knowledge of HRSA and FQHC (Federally Qualified Health Centers) reporting and operational requirements
- Knowledge of statistical analytical, or data mining techniques including basic data modeling, trend analysis, and root-cause analysis
- EQUIPMENT
Required: Standard office equipment including assigned computer, keyboard, multi-line telephone, printer/copier, electronic fax, and cellphone applications related to the EHR (Electronic Health Records) system, HR portal, and other administrative systems.
WORKING CONDITIONS/PHYSICAL DEMANDS
- Usual: Typical outpatient clinic environment.
- Special: Additionally, it requires some exposure to communicable diseases. bodily fluids. and other conditions common to a clinic environment.
- Hearing: Adequate to perform job duties in person and over the telephone/able to use multi-line phone system and respond to verbal questions.
- Vision: Visual acuity adequate to perform job duties, including reading information from written and printed sources, and computer screens.
- Other: Requires frequent lifting and carrying items weighing up to 50 lbs. unassisted, including assisting patients when required. Adequate physical ability to include sufficient manual dexterity to perform requisite health care service, including putting supplies away and accepting deliveries. Requires frequent sitting, reaching, repetitive hand movements, typing, standing, walking, squatting, sitting, with some heavy lifting, pushing, and pulling exerted regularly throughout a regular work shift.
