We are seeking a dedicated and professional Administrative Manager on Duty to join our team. The ideal candidate will play a critical role in ensuring the smooth operation of daily activities within the organization. Reporting directly to the Director of Operations, this position demands a detail-oriented, bilingual (Spanish/English) individual with excellent organizational, communication, and multitasking skills. The role requires prior experience in a warehouse environment and the ability to perform effectively in a fast-paced setting.

Key Responsibilities

  • Administrative Management
    1. Oversee and coordinate daily administrative operations to ensure efficiency and productivity.
    2. Conduct timecard audits, manage payroll processes, and ensure adherence to deadlines.
    3. Assign tasks to employees and monitor task completion to meet operational goals.
  • Operational Support
    1. Assist with inventory management, including placing and tracking orders.
    2. Resolve complex tasks and implement effective solutions to ensure business continuity.
    3. Manage and prioritize multiple tasks in a fast-paced environment.
  • Communication & Leadership
    1. Serve as the primary point of contact between the Director of Operations and employees.
    2. Foster clear and professional communication with staff, management, and external stakeholders.
    3. Provide guidance and direction to employees while maintaining a professional work environment.
  • Technical Skills
    1. Utilize computer systems effectively, with a strong focus on Excel for basic data management and reporting.
    2. Maintain accurate records and documentation for administrative and operational tasks.
  • Attention to Detail & Organization
    1. Ensure processes and documentation are completed with a high level of accuracy.
    2. Develop and implement organizational systems to enhance efficiency and workflow.

 Qualifications

  • Bilingual (Spanish and English) – required.
  • Proven experience in an administrative or managerial role, preferably within a warehouse environment.
  • Strong multitasking abilities and the capacity to work efficiently in a fast-paced setting.
  • Proficiency in computer applications, with a strong understanding of basic Excel functionality.
  • Familiarity with payroll processes, including timecard audits and compliance with deadlines.
  • Exceptional organizational skills and attention to detail.
  • Effective problem-solving skills with the ability to manage and resolve complex tasks.
  • Excellent verbal and written communication skills, with a professional demeanor.

 Preferred Qualifications

  • Previous experience working in operations or logistics.
  • Knowledge of inventory management and order placement processes.
  • Leadership experience, including task delegation and team coordination.

 Physical Requirements

  • Ability to work in a warehouse environment when required.
  • Comfortable standing, walking, and managing light lifting (up to 20 lbs) during day-to-day activities.
