We are looking for a dynamic Front Office Manager to join our team and help us achieve our vision.

Job Summary: The Front Office Manager will oversee the daily operations of our front office, ensuring smooth and efficient administrative support for both staff and clients. This role involves managing front desk operations, coordinating schedules, handling client inquiries, and providing exceptional customer service. The ideal candidate will be highly organized, detail-oriented, and possess strong interpersonal skills.

Key Responsibilities:

  1. Front Desk Operations:

    • Manage front desk activities including greeting clients, answering phones, and directing inquiries.
    • Maintain a professional and welcoming environment for clients, families, and staff.
    • Ensure the front office area is clean, organized, and fully stocked with necessary supplies.
  2. Administrative Support:

    • Assist with scheduling client appointments and coordinating care plans with healthcare professionals.
    • Handle intake and registration of new clients, including verifying insurance and managing required documentation.
    • Process and track client and staff paperwork, ensuring compliance with agency policies and regulations.
    • View Vendor Calls in FOCUS for DTA/HCBS/Home Health (training provided if needed)
  3. Client Relations:

    • Address and resolve client concerns and complaints in a timely and professional manner.
    • Provide information about services, policies, and procedures to clients and their families.
    • Maintain confidentiality of client information in accordance with HIPAA and agency standards.
  4. Team Coordination:

    • Support and collaborate with clinical and administrative staff to ensure seamless operations.
    • Train and supervise front office staff, including scheduling and performance management.
    • Assist with on boarding new employees and providing ongoing training as needed.
  5. Operational Efficiency:

    • Implement and maintain office procedures to improve efficiency and service quality.
    • Monitor and report on front office performance metrics and make recommendations for improvements.
    • Manage and reconcile office budgets and expenses.
  6. Compliance and Reporting:

    • Ensure compliance with agency policies, state regulations, and industry standards.
    • Prepare and submit reports related to front office operations, client intake, and service delivery.
Qualifications:

  • Education: High School Diploma or equivalent; Associate’s degree or higher in Healthcare Administration, Business Administration, or related field preferred.
  • Experience: Minimum of 3 years of experience in a front office or administrative role, preferably in a healthcare or home health setting. Experience in a supervisory or managerial role is a plus.
  • Skills:
    • Strong organizational and multitasking abilities.
    • Excellent verbal and written communication skills.
    • Proficiency in office software (e.g., Microsoft Office Suite, EHR systems).
    • Ability to handle sensitive and confidential information with discretion.
    • Exceptional customer service and problem-solving skills.
Work Environment: This position is based in an office setting within our facility. Occasional travel to client homes or other locations may be required.

Salary : $17 - $19
