About Us:
Harbor Counseling is a licensed outpatient substance use disorder treatment facility which also provides mental health counseling. We are a non-profit organization founded in 1997 and licensed by the Pennsylvania Department of Drug and Alcohol Programs (DDAP) to provide outpatient and intensive outpatient treatment. Our mission is to make a quality treatment program available and easily accessible to all persons in our area who are affected by alcohol and/or other drug misuse, and to reduce the incidence and prevalence of substance use disorder and related problems in our community.
Position Overview:
Harbor Counseling is seeking a Billing Coordinator who will play a pivotal role in processing and managing billing and collections for clients receiving substance use disorder and mental health treatment services. This position demands a thorough understanding of billing regulations, coding specific to substance use disorder / mental health treatment, and a proactive approach to ensuring the financial integrity of our organization.
Key Responsibilities:
- Accuracy: Review and verify client information to ensure accuracy and completeness, setting the foundation for successful billing.
- Timely Submission: Prepare and submit claims with precision and within deadlines.
- Compliance: Ensure strict adherence to billing guidelines, utilizing the correct diagnosis and procedure codes (ICD-10, CPT, etc.) to facilitate seamless reimbursements.
- Claims Management: Monitor claims status diligently and proactively follow up on unpaid or denied claims to maximize revenue flow.
- Collaborative Documentation: Work closely with clinical staff to gather essential documentation needed for successful claim submissions.
- Effective Communication: Engage with insurance company representatives to resolve billing discrepancies and expedite issue resolution.
- Record-Keeping Excellence: Maintain various spreadsheets to track billing and payment activities as well as client demographic data.
- Assist Receptionist: Provide backup for receptionist in answering telephone calls and assisting clients in a busy office setting.
- Other Duties: As assigned may include data entry and bookkeeping responsibilities.
Qualifications:
- High school diploma or equivalent required; associate's degree or certification in medical billing and coding is highly desirable.
- Familiarity with Microsoft Office (particularly Excel and Word) and QuickBooks accounting software.
- Experience in medical billing, ideally focused on Medicaid and/or substance use disorder/mental health treatment services is strongly preferred.
- Proficient in medical billing software and electronic health records (EHR) systems, with a tech-savvy approach to problem-solving.
- In-depth knowledge of medical billing procedures, coding (ICD-10, CPT), and medical terminology.
- Exceptional attention to detail and outstanding organizational skills that drive efficiency.
- Strong interpersonal and communication skills for effective collaboration with healthcare professionals, clients, and insurance representatives.
- Proven problem-solving abilities and a knack for tackling complex billing challenges.
- Familiarity with HIPAA regulations and a steadfast commitment to patient confidentiality.
