Transportation Fleet Manager

Position Summary:

The Fleet Manager oversees the daily operations and strategic management of the company’s fleet, ensuring safety, compliance, maintenance, and efficiency across all vehicles and related systems. This role is essential to supporting driver operations, maintaining regulatory standards, and optimizing fleet performance.

Key Responsibilities:

• Driver Compliance & Safety
  • Monitor Hours of Service (HOS) to ensure compliance and identify violations.
  • Maintain Driver Qualification (DQ) files for a fleet of approximately 180 drivers.
  • Oversee driver medical certifications and ensure CDL renewals are completed on time.
  • Manage post-injury or post-illness return-to-work processes for drivers.
  • Administer the company’s random drug and alcohol testing pool.
  • Conduct disciplinary reviews and maintain appropriate documentation.
• Fleet Maintenance & Oversight
  • Schedule and manage routine maintenance for 160 tractors and 400 towed assets.
  • Manage the company tire program and related inventory.
  • Coordinate service and repairs through leasing providers (e.g., Ryder, Penske).
  • Match invoices to work orders and resolve discrepancies or approve for payment.
  • Maintain daily records of out-of-service equipment.
• Technology & Systems Management
  • Troubleshoot and resolve issues with ELD tablets; ensure full ELD compliance.
  • Review and manage onboard camera footage for incident follow-ups and technical support.
  • Oversee the Comdata fuel and expense platform and the Pilot fuel card system.
• Permitting, Licensing & Regulatory Filings
  • Manage overweight, out-of-gauge, and oversized vehicle permitting.
  • Distribute and manage renewals for vehicle registrations, IFTA tags, and operating authorities.
  • Administer IRP and IFTA filings for four separate business entities.
  • Handle quarterly road use tax filings and unit changes within IRP/IFTA programs.
• Incident and Claims Management
  • Support claim handling for worker’s compensation and vehicular accidents.
  • Serve as a point of contact for after-hours calls, stepping in when issues exceed driver responsibility.
  • May be called to provide testimony or deposition in legal cases.

Qualifications:

• Proven experience in fleet or transportation management (3–5 years preferred).
• Strong understanding of FMCSA regulations, IRP/IFTA programs, and DOT compliance.
• Experience with ELD systems, fuel card management, and vehicle maintenance scheduling.
• Ability to manage high volumes of documentation and regulatory filings.
• Strong organizational and communication skills.
• Proficiency with fleet management software and Microsoft Office Suite.

Preferred Skills:

• Experience working with leased equipment and vendor relationships.
• Familiarity with Comdata and Pilot systems.
• Knowledge of claims handling and return-to-work programs.
