Executive Assistant
The Role
HarbourView Equity Partners (https://www.harbourviewequity.com/) is seeking an organized, proactive, detail-oriented, and personable Executive Assistant (EA) to support the firm’s eight (8) Managing Directors in our fast-paced and dynamic environment.
Using a high degree of judgment and discretion, the successful candidate will be responsible for managing schedules, coordinating meetings, preparing reports, and performing various administrative tasks to ensure the MDs can focus on high-level strategic decisions and business development. The EA will work on-site in our Newark, NJ office three days a week.
What You Will Do
- Calendar & Schedule Management: Manage and prioritize daily schedules for (some of) the Managing Directors, ensuring efficient use of their time. Coordinate internal and external meetings, including travel arrangements and logistics.
- Communication & Correspondence: Handle incoming and outgoing communications, including emails, phone calls, and MS Teams messages, etc. Draft, proofread, and send written correspondences on behalf of the Managing Directors as needed.
- Meeting & Event Coordination: Arrange video/teleconferences, prepare agendas for meetings, ensure the MDs are well-prepared with materials, and follow up on action items. Coordinate logistics for both internal and external meetings, conferences, and events and liaise with IT as needed.
- Travel and Entertainment Coordination: Book travel, accommodations, reservations and ground transportation for the MDs, ensuring a seamless and cost-effective travel experience. Ensure all expenses are captured and submitted to the Finance team in a timely fashion.
- Document Management & Reporting: Maintain and organize confidential files, documents, and records. Assist in the preparation of reports, presentations, and other materials for senior leadership meetings.
- Relationship Management: Act as a liaison between the Managing Directors and internal/external stakeholders, maintaining strong relationships with clients, partners, and team members at all levels of the organization.
- Office & Administrative Support: Support day-to-day office operations, including handling inquiries, managing office supplies, and assisting with other administrative tasks as required.
- Project Management: Assist with ad-hoc projects and initiatives as directed by the Managing Directors. Take ownership of specific tasks and ensure timely follow-up and execution.
- Other: Understand each MD's priorities to anticipate deliverables and follow up.
Qualifications
- Minimum 5 years of administrative experience including at least 3 years as an Executive Assistant supporting Managing Directors, Vice Presidents, and/or other senior leaders
- Proficiency with Microsoft Word, Excel, PowerPoint, Outlook, and Teams
- Strong interpersonal skills with the ability to interact with all levels of the organization and external stakeholders
- Strong organizational and multitasking skills with attention to detail
- Excellent written and verbal communication skills
- Ability to handle sensitive information with discretion and maintain confidentiality
- Strong time management skills and ability to work under pressure
- Positive attitude, flexibility, and ability to adapt to changing priorities
- Interest and/or experience in private equity and/or alternative investments preferred
- Proficiency with a project management tool (e.g., Asana, Trello, Monday.com, etc.) preferred
