THE JOB
The Estate Planning Paralegal plays a critical role in supporting the firm’s estate planning attorneys by drafting legal documents, coordinating client communications, managing case files, and ensuring that estate planning matters progress smoothly from start to finish. The paralegal will work directly with attorneys and clients to facilitate the estate planning process, ensuring that all documentation is accurate, deadlines are met, and clients feel supported throughout.
This position requires strong organizational skills, attention to detail, and the ability to manage multiple client matters simultaneously. The ideal candidate is proactive, resourceful, and comfortable interacting with clients, often guiding them through document execution and signing procedures.
*This is a HYBRID POSITION in Austin, where the candidate can expect to spend 2-3 days a week in the office and occasionally more as needed for client support.
THE DUTIES & RESPONSIBILITIES
Specific duties of this position include, but are not limited to:
- Drafting estate planning documents, including wills, trusts, powers of attorney, and other related documents, under attorney supervision.
- Preparing and organizing client files, ensuring all documentation is complete and filed properly.
- Managing the estate planning process, tracking deadlines, and ensuring clients move efficiently through each stage.
- Coordinating and scheduling estate planning signings, including preparing documents, facilitating client meetings, and overseeing execution and notarization.
- Communicating professionally with clients, both via email and phone, to gather necessary information, answer general questions, and provide case updates.
- Conducting preliminary review and organization of client-provided financial and asset information.
- Ensuring that executed estate planning documents are properly scanned, filed, and distributed to clients in digital and/or physical form.
- Assisting attorneys in preparing for client meetings, including assembling necessary documentation and summarizing case details.
- Managing and tracking estate planning workflow to keep attorneys and clients informed of case status.
- Assisting with funding trusts, including preparing deeds and beneficiary designation forms.
- Conducting basic research related to estate planning matters as needed.
- Providing occasional support for probate, guardianship, or other transactional matters as workload permits.
- Other administrative and legal support duties as assigned.
YOUR QUALIFICATIONS
- Paralegal certificate or relevant legal experience required; a bachelor’s degree is a plus.
- Strong knowledge of estate planning documents and processes, with the ability to manage multiple cases simultaneously.
- Exceptional organizational and multitasking skills, with strong attention to detail.
- Excellent interpersonal and client service skills, with the ability to communicate effectively with clients, attorneys, and staff.
- Proficiency in Microsoft Outlook, Word, and Excel
- Ability to work independently while collaborating effectively with a team.
- A proactive and problem-solving mindset, with the ability to anticipate needs and manage deadlines efficiently.
PAY
The salary range is $55,000 to $70,000 for full-time, plus benefits, which include:
