Nature of Work
Serve as first point of contact at the Detention Center; respond to questions from the public waiting inside the facility; screen visitors entering secure areas; answer in-coming calls to the facility; perform other duties as assigned.
The Corrections Records Clerk position has opportunities for overtime and compensatory time.
Examples of Duties
- Staff the front lobby window and field questions from the public waiting inside the facility, and regarding inmate population.
- Ensure that any non-detention center staff entering the secure areas of the facility have gone through the metal detector; signed in the visiting log and been issued an identification badge.
- Educate and enroll future weekender inmates and process appropriate paperwork.
- Answer incoming phone calls regarding inmates; respond to questions and / or redirects as appropriate.
- Process inmate legal mail and make appropriate entries into database.
- Update Detention Center phone numbers.
- Provide address change information to the Human Resource Director.
- Assign "Attorney Booths" to visiting attorneys, clergy, etc.
- Reserve conference / roll call rooms for upcoming events.
- Issue permanent ID badges for volunteers, facilitators, etc.
- Update inmate visitor changes in OMS database.
- Scan inmate visitation authorization forms into database.
- Contact various departments i.e., Inter Agency Processing Center to verify or obtain information.
- Maintain office equipment located in the administrative area, to include copier, printer, etc.
- Provide incarceration letters upon request.
- Print and distribute court summonses for service.
- Monitor and maintain supplies needed for Administration.
- Print and distribute District and Circuit Court bail lists.
- Instruct the general public on various software programs provided to the inmate population (visiting, phones, commissary accounts, tablets, etc.).
- Keep supervisor and relevant others informed of issues in a timely fashion.
- Cultivate and maintain positive relationships with Agency and other outside agency staff, inmates, and the public.
- Keep informed on current Detention Center practices and procedures by reviewing policies and procedures in PowerDMS.
- Perform other duties as assigned.
