Executive Assistant and Onboarding Administrator (Hybrid: 75% Remote / 25% On-Site in Richmond, VA)
FULL-TIME | $50,000 SALARY

In this hybrid position, approximately 75% of your time will be spent working from home as an administrative assistant to our client accounting teams—especially focusing on onboarding new clients by coordinating documentation, login credentials, and other materials critical to a seamless start. The other 25% of your time will be dedicated to local executive assistance tasks in the Richmond, VA area, which may include personal and professional errands for the Company President, such as managing bank deposits, obtaining physical document signatures, scheduling, and other administrative tasks that require an on-site presence.

What You Will Own & Improve Upon

  • C-Level Executive Support
  • Provide comprehensive administrative support to the Company President, handling both professional and personal tasks.
  • Coordinate calendars, email correspondence, and follow-up items, ensuring the President stays focused on company growth.
  • Client Onboarding Assistance (Remote)
  • Serve as the main point of contact for new clients, gathering all necessary documentation, logins, and passwords.
  • Collaborate with the client accounting teams to ensure a smooth start for every new engagement.
  • Proactively identify and remedy any roadblocks in the onboarding process.
  • Staff Support
  • Interact with staff members on behalf of company leadership—facilitating their needs, fielding inquiries, and fostering a positive company culture.
  • Set the tone for excellent internal customer service and strong team morale.
  • Third-Party Interactions
  • Communicate with clients, vendors, and other stakeholders on behalf of the President.
  • Represent the leadership team in external projects and engagements, maintaining professionalism and a solution-oriented focus.
  • Local Errands & On-Site Support (Richmond, VA)
  • Dedicate up to 25% of your work time for in-person tasks, such as running personal errands, handling banking needs, scheduling appointments, obtaining physical document signatures, delivering items locally, or other tasks that require on-site attention.

What You Already Know

  • Software Proficiency

You are adept at using Microsoft Office (Word, Excel, PowerPoint) and Google Workspace (Gmail, Docs, Calendar), and you adapt quickly to new software. Knowledge of QuickBooks is a plus.

  • Education

You hold a Bachelor’s Degree or an Associate’s Degree with relevant and compelling work history.

  • Communication Skills

You communicate kindly, clearly, and professionally—always leaving your peers, clients, and stakeholders feeling heard and energized. You have impeccable grammar and represent yourself and the company well. (Must be fluent in English; Spanish fluency is a bonus for our diverse client base.)

  • Work Ethic

What You Will Learn

  • Accounting Team Support

Even if you don’t have an accounting background, you will quickly learn the basics of the business and its busiest periods (like tax season). You’ll collaborate closely with our administrative tax team to ensure each season runs smoothly.

  • Additional Project Services

The Company President is involved in a range of projects and businesses. You’ll support these endeavors as they arise, gaining insight into diverse industries and operations.

About the Team

This role reports directly to the Company President and supports him in all aspects of his leadership. You’ll work closely with team members across our divisions—tax, accounting, and operations—to help Harmony Group excel.
