Position Summary: We are seeking a highly organized and proactive Office Administrator/Assistant to manage a variety of administrative tasks and ensure the smooth operation of the office. The ideal candidate will also support HR functions by assisting with the onboarding of new hires. This role is perfect for someone who thrives in a fast-paced environment and enjoys multitasking, maintaining office organization, and contributing to the success of the team.

Key Responsibilities:

Office Administration:

  • Manage daily office operations, including answering phone calls, emails, and responding to general inquiries.
  • Maintain office supplies inventory, ordering new items as necessary, and ensuring a well-organized workspace.
  • Coordinate meetings and appointments, ensuring that all necessary resources are available.
  • Prepare and maintain office documents, files, and records (both physical and digital) for easy access and retrieval.
  • Assist with scheduling and managing executive calendars, travel arrangements, and related tasks.
  • Provide general support for office-wide events, initiatives, and projects.
  • Ensure office equipment is functioning properly, and manage service requests for repairs and maintenance.

Onboarding Support:

  • Assist with the onboarding process for new hires, ensuring they have a smooth transition into the company.
  • Coordinate new hire documentation, including benefits enrollment, tax forms, and other required paperwork.
  • Prepare new hire orientation materials, including employee handbooks and company policies.
  • Set up new hire workstations, including computer access, email, and necessary software.
  • Schedule and coordinate orientation sessions with HR and department heads to introduce new employees to company culture, teams, and expectations.
  • Facilitate introductions and assist with team integration to ensure a welcoming environment for new hires.
  • Track new hire progress and ensure all onboarding steps are completed in a timely manner.

Additional Responsibilities:

  • Handle sensitive information and maintain confidentiality.
  • Provide administrative support for HR-related tasks, including maintaining employee records and tracking attendance.
  • Assist with employee relations activities, including organizing company events and celebrations.
  • Work with various departments to ensure smooth communication and coordination across the company.

Qualifications:

  • High school diploma or equivalent required; Associate's or Bachelor’s degree preferred.
  • Proven experience in an office administrative role, with at least 1-2 years of experience.
  • Familiarity with onboarding processes and HR-related tasks is a plus.
  • Strong organizational and multitasking skills, with attention to detail.
  • Excellent communication skills (both written and verbal).
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) or similar software.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • A positive attitude and ability to work independently and as part of a team.

Physical Requirements:

  • Ability to sit at a desk and use a computer for extended periods.
  • Occasional lifting of office supplies or materials (up to 25 lbs).

Job Type: Full-time

Pay: $20.00 - $24.00 per hour
