Position Summary: We are seeking a highly organized and proactive Office Administrator/Assistant to manage a variety of administrative tasks and ensure the smooth operation of the office. The ideal candidate will also support HR functions by assisting with the onboarding of new hires. Key Responsibilities:
Office Administration:
- Manage daily office operations, including answering phone calls, emails, and responding to general inquiries.
- Maintain office supplies inventory, ordering new items as necessary, and ensuring a well-organized workspace.
- Coordinate meetings and appointments, ensuring that all necessary resources are available.
- Prepare and maintain office documents, files, and records (both physical and digital) for easy access and retrieval.
- Assist with scheduling and managing executive calendars, travel arrangements, and related tasks.
- Provide general support for office-wide events, initiatives, and projects.
- Ensure office equipment is functioning properly, and manage service requests for repairs and maintenance.
Onboarding Support:
- Assist with the onboarding process for new hires, ensuring they have a smooth transition into the company.
- Coordinate new hire documentation, including benefits enrollment, tax forms, and other required paperwork.
- Prepare new hire orientation materials, including employee handbooks and company policies.
- Set up new hire workstations, including computer access, email, and necessary software.
- Schedule and coordinate orientation sessions with HR and department heads to introduce new employees to company culture, teams, and expectations.
- Facilitate introductions and assist with team integration to ensure a welcoming environment for new hires.
- Track new hire progress and ensure all onboarding steps are completed in a timely manner.
Additional Responsibilities:
- Handle sensitive information and maintain confidentiality.
- Provide administrative support for HR-related tasks, including maintaining employee records and tracking attendance.
- Assist with employee relations activities, including organizing company events and celebrations.
- Work with various departments to ensure smooth communication and coordination across the company.
Qualifications:
- High school diploma or equivalent required; Associate's or Bachelor’s degree preferred.
- Proven experience in an office administrative role, with at least 1-2 years of experience.
- Familiarity with onboarding processes and HR-related tasks is a plus.
- Strong organizational and multitasking skills, with attention to detail.
- Excellent communication skills (both written and verbal).
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) or similar software.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- A positive attitude and ability to work independently and as part of a team.
Physical Requirements:
- Ability to sit at a desk and use a computer for extended periods.
- Occasional lifting of office supplies or materials (up to 25 lbs).

Pay: $20.00 - $24.00 per hour
