We are looking for a Bilingual Editorial Coordinator to support the day-to-day operations of our team. Our ideal candidate will be a quick learner, detail-oriented, highly organized, an efficient and accurate worker, a great team player, and eager to learn and grow within the publishing industry.

 

The Bilingual Editorial Coordinator is an entry-level position and supports the Spanish publishing team based in Nashville. They participate in the daily functions of the Spanish Publishing Operations team, supporting both editorial, sales and marketing staff while ensuring products are on-time and executed with excellence.

 

This is a hybrid position based out of our Nashville office.

Responsibilities

Essential Responsibilities:

  •  Provide backup to and assist the Managing Editor (ME) in managing resources and providing accountability.
  • General office responsibilities, including but not limited to: Mail, ordering supplies. Liaise with Sales team for scheduling, etc.
  • Plan/set up departmental meetings:
    • Weekly editorial and publishing boards, creative alignment, production rounds etc. Help with team gatherings.
    • Take notes during meetings and send out to stakeholders.
    • Under the supervision of the ME, maintain agenda for weekly team creative strategy meeting, scheduling titles for alignment, cover direction, and cover review to ensure that catalog deadlines are met.
  • Serve as A/P point person and process invoices, set up all new vendors in the Hiperos system, request vendor W-9’s, and contact vendors with instructions for completing the on-boarding compliance tool.
  • Manage author/agents’ database and handle special communications, holiday greetings, etc.
  • Place book orders as necessary.
  • Provide hospitality; process catering requests/register guest at front desk on guest calendar.
  • Manage department product library, maintain department bookshelves in vault and distribute books to editors and the library of congress.
  • At the direction of the Managing Editor, field customer inquiries when forwarded from Customer Service and facilitate the response process.
  • Editorial coordination duties:
    • Assist the Managing Editor (ME) in managing data and scheduling.
    • Set up titles and maintain metadata for books, audio, distributed titles, and eBooks.
    • Support the ME in managing the catalog process by assisting with comprehensive data check, sample packet assembly and delivery, and catalog copy.
    • Assist with AP&L (APL) development, processing and routing as requested by the ME.
    • Process title life-cycle management actions (OP, LRO, and SPR) requests received from the Publisher.
    • Manage the process for corrections for reprints and work request processes from beginning to end.
    • Oversee the cover routing process and manage final stages of manuscript approval, ensuring editorial excellence by proofreading product packaging, front and back matter, and cover routings.
    • Update metadata in MDM one week after launch and covers meetings, when an MDM update request email is received, or as requested by ME.
    • Process Contract Request Form (CRF) submissions to contracts department. Enter contract data into MDM records once fully executed contract is received.
    • Ensure project documents are complete, current, and archived properly (i.e. CIP, minutes, copyright registration, etc.) Assemble the Copyright data and manage the CIP application/correction and implementation process.
    • Link authors to MDM and alert Author Care if resource needs to be added to system.
    • Pull sales reports from internal data systems.

    Qualifications

    Work Experience

    3 years’ administrative work experience, publishing/editorial work preferred.

     

    Education: 

    B.A or equivalent work experience.

     

    Industry Knowledge:

    General understanding of the Christian publishing industry preferred.

     

    Skills:

  • Ability to quickly learn new software applications and maintain awareness of new and emerging technologies.
  • Advanced skills on MS Excel.
  • Exceptional written and verbal communication skills, in both English and especially Spanish.
  • Highly organized, with meticulous attention to detail.
  • Excellent interpersonal skills; ability to serve as liaison between/among various professional levels internally and externally.
  • Strong project organizational skills.
  • Able to quickly prioritize.
  • Strong problem-solving skills.
  • Experience in project management helpful.
