JOB SUMMARY:
The AP Specialist is responsible for assisting the accounting department with general office duties and basic accounting functions.
ESSENTIAL FUNCTIONS:
- Collect and distribute incoming and outgoing mail.
- Pulls in AP invoices into AP system.
- Indexes all AP invoices.
- Audit incoming statements.
- W-9 updates from vendors.
- Codes and processes invoices.
- Runs weekly AP aging to provide to the CFO for approval.
- Prepares and files tonnage reporting.
- Backup Receptionist during breaks or vacations.
- Make periodic trips for company business such as post office, CPA, attorney, IRS, tag office, or bank.
- Vendor Audit for Updates to address and/or payment type.
- Monthly review of the Uninvoiced Receiving.
- Other duties as assigned.
- High school diploma or equivalent; Associate degree preferred.
- One to two years of accounting experience preferred.
LICENSES AND CERTIFICATIONS:
- None
- General accounting knowledge
- Strong problem solving, excellent verbal and writing communication and decision-making skills
- Strong organizational and interpersonal skills, and project management skills including the ability to work against pressing deadlines, independently, as well as with a team.
- Working knowledge of computer software including Great Plains accounting software and the Microsoft Office suite.
- Ability to prioritize tasks and strong attention to detail.
PHYSICAL REQUIREMENTS:
- The use of a computer and phone – Must be able to see, type, write, finger, grasp, and sit; must be able to use a mobile phone
- Communicating with internal and external customers – must be able to talk, hear, see, and comprehend.
- Mobility of arms – Must be able to reach and use arms to manipulate small objects.
- Mobility inside the office to access filing cabinets, office machines, and supplies – must be able to move about the office space, stand for extended period of time, reach, bend, and occasionally lift up to 30 pounds.
