The Facilities Management Coordinator must process strong organizational skills, attention to detail, effective communication, proficient in contract and budget management, and ability to multi-task in a fast passed environment.
Duties and Responsibilities:
The incumbent is responsible for executing the duties and responsibilities listed below and other duties as assigned. Some positions may require working before, during, or after an emergency or disaster at the department's discretion.
- Receives and routes telephone calls, directs facilities-related calls to the appropriate staff and maintains calendars, schedules, and appointments for Facilities Management Personnel.
- Assists in coordinating daily facilities maintenance and operational activities with County and private agencies, and manages badge audits for HCTRA personnel.
- Reviews and manages contracts, purchases orders, and budgetary spreadsheets and assists with managing current and future facility leases while ensuring proper execution. Additionally, proofreads and revises leases agreements and maintenance/janitorial contracts, ensuring accuracy and securing required approvals.
- Reviews, monitors, and audits timesheets for accuracy, processing them in EZ Time for temporary employees and submitting approvals for full-time Harris County employees through STARS when delegated. Additionally, tracks attendance and HR paperwork for the Facilities Management section.

Education and Experience:
- High school diploma or equivalent. AND
- Three (3) years of office management and/or commercial/industrial facilities management experience.
Knowledge, Skills, and Abilities:
- Detail oriented with strong organizational skills.
- Knowledge of grammar, punctuation, and spelling.
- Proficient in Microsoft Office Suite, with demonstrated ability to create and manage spreadsheets using Excel.
- Ability to prioritize tasks that require immediate attention and high sense of urgency.
- Ability to take charge of technical responsibilities, keeping manager informed of actions and results.
- Strong written and verbal communication skills.
- Ability to effectively follow verbal and written instructions.
- Working knowledge of tools, equipment, and materials necessary to properly clean.
- Ability to properly research and purchase equipment with considerable tact and discretion.
- Ability to collaborate effectively in a team environment while also demonstrating initiative and self-motivation when working independently.
Physical Demands:
Medium work - Exerting up to 50 pounds of force occasionally, and/or up to 20 pounds of force frequently, and/or up to 10 pounds of force constantly to move objects.NOTE: Qualifying education, experience, knowledge, and skills must be documented on your job application. Position Type and Typical Hours Work:
This is a full-time position with the typical work hours of Monday - Friday 7:00am-3:30pm.Work Environment:
This role involves mainly operating within an office setting however, outdoor work may be occasionally required.Possible Work Exposures:
Loud noises, inclement weather, various temperature changes, and high-speed traffic.
