Position Overview:

The receptionist is responsible for performing clerical and administrative duties to the Executive Department. The receptionist would also assist organizational leadership and administrative personnel by sorting correspondence, filing records, and any other clerical responsibility necessary to the day-to-day function of the division or department.

Job Duties/Responsibilities:

  • Candidate must possess excellent customer service and strong oral and written communication skills to interact clearly with customers, vendors, and other employees.
  • Basic computer skills and proficiency in the use of Microsoft Office programs Act as the point of contact between the executives and internal/external clients.
  • Undertake the tasks of receiving calls, taking messages, and routing correspondence.
  • Handle requests and queries appropriately
  • Sort and distribute daily mail (incoming and outgoing)
  • Must possess organizational skills and ensure that the Reception Desk remains tidy, organized, and ready for business.
  • Other tasks as assigned.

Requirements

Education:

  • High school diploma or G.E.D. equivalent


Experience:

  • Two (2) years of general office or clerical work. Advanced education and experience may be substituted for one another.
  • Experience in customer service is preferred.
  • Bilingual- Position requires proficiency in both English and Spanish, with the ability to communicate effectively in written and spoken forms in both languages.


Knowledge, Skills, and Abilities (KSAs):

  • Ability to handle highly sensitive and confidential information at all times.
  • Ability to self-start; assume ownership in setting goals.
  • Requires strong knowledge using office-related software.
  • Utilize good time management skills and effectively prioritize and manage multiple tasks/initiatives.
  • Use good phone etiquette and effectively communicate with coworkers, vendors, the public, and industry and/or governmental representatives.
  • Read/comprehend written materials, write/record legible notes and correctly complete required forms.

Preferences

Education:

  • Associate degree or Equivalent.


Experience:

  • Training and experience using a personal computer with a variety of software such as Microsoft Word, Microsoft Excel, Microsoft Outlook, and Case Management Software


General Information

Position Type, and Typical Hours of Work:

  • Full-Time | Regular | 40 hours per week
  • Hybrid schedule: Three days in the office and two days working from home.
  • Subject to early mornings, late evenings, weekends and holidays at times, depending upon the project or workload.


Salary:

  • Commensurate with experience, based on 26 pay periods


Physical Demands and Environmental Exposure:

  • Most assignments will be performed in an office, meeting, or operations command center environment, but some field work may be required. May be required to work extended work hours during activation of disaster recovery operations for an unspecified length of time (varies based on the extent of the event).
  • This position requires bending, stooping, and lifting up to 25 lbs., frequent walking, standing, sitting, reaching, and ascending/descending stairs. The physical demands described here are representative of those that must be met by an employee to perform the essential functions of this job successfully.
