Job Summary
We are seeking a highly organized and professional Receptionist/Administrative Assistant to join our legal practice. We need someone self-motivated, friendly, and a quick learner. The ideal candidate will serve as the first point of contact for our clients and visitors, providing exceptional customer support while managing various administrative tasks. This role requires excellent time management skills, attention to detail, and proficiency in office software, particularly Microsoft Office and Adobe Pro.
Responsibilities
- Greet and welcome visitors in a friendly and professional manner at the front desk.
- Manage incoming phone calls, directing them to the appropriate personnel and taking messages when necessary.
- Maintain organized filing systems for both physical and digital documents.
- Assist with scheduling appointments and managing calendars for team members.
- Provide administrative support by preparing documents and handling payments/ receipts.
- Perform proofreading of various materials to ensure accuracy and clarity.
- Coordinate office supplies inventory and place orders as necessary.
- Support customer inquiries with prompt responses and effective solutions.
Requirements
- Proven experience as a receptionist or in an administrative role is preferred.
- Proficiency in using phone systems and office equipment.
- Familiarity with Google Drive, Microsoft Office, Adobe and Gmail. Experience with Efile is a plus.
- Strong time management skills with the ability to prioritize tasks effectively.
- Excellent written and verbal communication skills.
- Attention to detail with strong proofreading abilities.
- Ability to work independently as well as part of a team in a fast-paced environment.
- A positive attitude with a commitment to providing outstanding customer support.
