Pay Range: $22.50 - $33.76 per hour

This role will provide administrative support to other members of the team.
Service Personnel Support
- Support field personnel by arranging necessary parts, tools, and equipment rentals.
- Check-in and stage incoming parts with notification to staff including returns and credits from vendors.
- Provide back up to dispatch as needed.
- Data Entry of new equipment into data base with updates or corrections.
- Answer calls for controls phone line during normal business hours and provide excellent customer service.
- Advise Service Manager of customer comments.
- Expedite resolution of complaints to ensure and maintain long-term relationships. Communicate resolution to customer.
- Build rapport and productive working relationships with customers, vendors, and other outside agents. Effectively represent company’s interest to outside agents to maximize profits.
- Maintain awareness of high credit risk customers and obtain approval from Service Manager prior to authorizing service. Diplomatically communicate response to customer.
- Operate computers programmed with accounting software to record, store, and analyze information.
- Review completed service reports and compare figures to the accounting software for accuracy. Follow up with service and construction personnel on any discrepancies. Request labor hours and materials reallocated as needed.
- Prepare proper documentation of itemized for work orders.
- Place parts orders for customers. Arrange for shipment or courier of materials to site.
- Monitory inventory stock, and place orders as needed.
- Process return parts orders for warranty related items.
- Set up work orders in accounting software and manage supporting file structure – scanning documents, entering information, request permits, etc.
- Review aged receivables bi-weekly and send statements to customers to ensure timely payment of work orders, service contracts, and service projects.
- Log, track, and coordinate all safety training records.
- Compose documents and other correspondence as needed.
- Prepare small and routine quotes and follow-up for planned maintained
- Recognize the relationship between good performance, customer satisfaction, and sales opportunities. Understand sales objectives. Promote upgrading existing business and the sales of new business by continuously reporting sales leads.
- Forward sales inquiries to Service Manager for follow-up and assignment
- 4 years of proficient use/understanding of Microsoft Word, Excel, and Outlook
- 2 years of customer service experience
- 2 years pf prior experience in an administrative support function
- Basic understanding of mechanical systems – what they do and how they operate preferred
- Associates degree preferred
