The Student Records and Reporting Specialist plays a vital role in maintaining the accuracy and integrity of student records. This position is responsible for generating official reports, including those required by external agencies (like the National Student Clearinghouse and the PA State Department of Education) and ensuring compliance with all regulations. This specialist also supports staff using the student information system, helping them navigate it and troubleshoot issues. A key focus of this role is using data to improve our processes and create efficiencies in managing student information. The Specialist will collaborate closely with the Registrar Systems Analyst and other departments to ensure student data is accurate, secure, and readily available.
Essential Duties and Responsibilities:
- Prepare and submit official reports (e.g., to the National Student Clearinghouse, the PA State Department of Education, and for certifications), ensuring compliance with all rules and regulations.
- Provide support to staff using the student information system, answering questions and helping resolve any problems they encounter.
- Assist in developing and generating reports in Infomaker for various departments.
- Update settings, rules, and student information for new semesters.
- Processing end-of-semester recalculations and reports, notifying students of changes.
- Develop and implement streamlined processes to manage student data more efficiently.
- Maintain the accuracy and security of student records.
- Train staff on the student information system, including new features and updates.
- Stay up to date on best practices in student data management.
- Other related duties as assigned.
Qualifications:
- Bachelor's degree in a related field (or equivalent and relevant work experience).
- Experience working in higher education, preferably in a registrar's office.
- Experience working in student systems (i.e., Jenzabar and Stellic are preferred).
- Strong understanding of database management and reporting tools.
- Proficiency in data analysis and visualization techniques.
- Excellent problem-solving and analytical skills.
- Ability to communicate technical information to non-technical audiences.
