Description
The Marketing Coordinator I plays a key role in supporting the firm’s marketing and business development efforts, with a primary focus on proposal coordination, marketing asset management, business development collateral, and marketing operations. This role ensures that marketing materials are well-organized, supports proposal development, and assists in executing marketing initiatives across teams. The ideal candidate is highly detail-oriented, organized, and proactive in supporting both internal and external marketing needs.
Key Responsibilities
- Proposal & Sales Support
- Assist with assembling and formatting RFQs/RFPs, ensuring compliance with submission requirements.
- Maintain and update firm qualifications, project descriptions, and team bios for use in proposals.
- Track proposal deadlines and coordinate with internal teams to gather necessary input.
- Support the creation of business development collateral, including presentations, leave-behinds, and client-focused marketing materials.
- Ensure branding and messaging consistency across all proposal and BD materials.
- Marketing Asset & Digital Library Management
- Organize and maintain the firm’s marketing asset library, including project photography, case studies, and marketing collateral.
- Ensure marketing materials, templates, and proposal resources remain updated and accessible.
- Assist with basic website updates (e.g., team bios, project pages, minor content updates).
- Coordinate with the Digital Graphic Designer to support ongoing web maintenance needs.
- Marketing Operations & Cross-Team Support
- Assist in CRM data entry and marketing-related tracking, supporting the Account Coordinator in managing business development data.
- Help maintain marketing processes, checklists, and best practices for proposals, BD collateral, and asset management.
- Support documentation and version control for marketing workflows.
- Provide ad-hoc marketing support across various initiatives, collaborating with marketing, business development, and technical teams.
- Assist with light marketing analytics tracking (e.g., asset usage, engagement reports) as needed.
Qualifications
Education & Experience
- Bachelor’s degree in Marketing, Communications, Business, or a related field (or equivalent experience).
- 1-3 years of experience in a marketing, business development, or administrative role, preferably in a professional services, A E, or B2B environment.
Skills & Competencies
- Strong organizational skills with the ability to manage multiple projects and deadlines.
- Excellent writing and editing skills to support proposal and marketing material development.
- Attention to detail and ability to ensure consistency across marketing assets.
- Proficiency in Microsoft Office (Word, PowerPoint, Excel) and Adobe Acrobat; experience with InDesign or other design software is a plus.
- Familiarity with CRM, content management systems (CMS), and digital asset management tools is preferred.
- Ability to work collaboratively across teams while maintaining a proactive, solutions-oriented approach.
