Harrison Gray Search is partnering with a boutique law firm with offices in Philadelphia, Pennsylvania, and Marlton, New Jersey, to find a highly skilled executive assistant to support one of the founding partners in their tax and estate planning practice. This role is integral to ensuring seamless operations, managing high-level client interactions, and supporting attorneys with legal and administrative tasks.
About the Role
The executive assistant will provide direct support to the founding partner and other attorneys in the tax and estate planning group. This practice focuses on estate, tax, and asset preservation planning for high-net-worth individuals, as well as trust and estate administration, business succession planning, and general business representation.
We are looking for a proactive, highly organized, and detail-oriented professional with a strong background in executive support, legal administration, and client relations. The ideal candidate must possess excellent communication skills and
the ability to handle multiple priorities in a fast-paced legal environment.
Key Responsibilities
- Project and task management: Track ongoing projects, deadlines, and assignments, ensuring timely completion.
- Document preparation and editing: Draft, proofread, and finalize legal documents, including wills, trusts, powers of attorney, and business agreements.
- Calendar and schedule management: Maintain and coordinate meetings, client appointments, and deadlines for attorneys.
- Client communication: Serve as a liaison between attorneys and clients, handling sensitive information with discretion.
- Billing and timekeeping: Enter billable time for the partner and prepare monthly billing statements.
- Contact management: Maintain and update client databases and professional contacts.
- Administrative support: Prepare reports, handle correspondence, and ensure office organization for efficient workflow.
What We’re Looking For
- Experience: Minimum of 3–5 years of experience as an executive assistant or legal assistant, preferably in a law firm or professional services environment.
- Technical proficiency: Strong knowledge of Microsoft Office Suite (Word, Outlook, PowerPoint, Excel) and legal document management systems. Experience with billing software (e.g., Clio, Timeslips, Elite) is a plus.
- Communication skills: Exceptional verbal and written communication skills, with strong attention to detail.
- Organizational ability: Strong project management skills, ability to handle multiple tasks, and meet strict deadlines.
- Independence and initiative: Ability to work with minimal supervision, exercise sound judgment, and anticipate needs.
- Client service orientation: Experience working closely with high-net-worth clients and maintaining confidentiality.
