What are the responsibilities and job description for the Part C Clerical position at Harrisonburg Rockingham Community Services Board?
Infant Toddler Connection is looking for their newest addition to the team! The Part C Clerical will support administrative duties of the ITC Team. The Part C Clerical staff is directly responsible to the Local System Manager. He/she is expected to exercise considerable independence and autonomy in day-to-day decision-making in regard to duties and responsibilities. The position requires the ability to work effectively and cooperatively with staff from other agencies, as well as part of a team. This position is classified non-exempt under the Fair Labor Standards Act. Job duties include, but are not limited to filing, scanning, contacting client families, scheduling interpreters, exhibits excellent customer service, answering/returning phone messages, completing purchase orders, etc.
Minimum education and Experience required for this position is completion of high school, preferably supplemented by college or business school courses; one year of experience in clerical work; OR any equivalent combination of clerical experience and training which provided the required knowledge, skills and abilities.
Major Duties and Responsibilities:
- Files and/or scans client contact notes, assessments, and other reports in the client’s medical records.
- Prepares client profiles for admission to and discharge from the Part C program.
- Copies materials needed for members of the ITC staff.
- Copies materials needed for staff meetings or other trainings.
- Assist in developing graphics to use in social media aspects and/or printed materials.
- Prepares mailings, as requested by the System Manager on behalf of the state Part C office.
- Contacts families on behalf of the direct service providers, as needed, to schedule appointments.
- Participate in staff meetings and professional development activities, as needed to understand Part C documentation requirements.
- Adheres to regulations and standards established by or for compliance with human rights regulations, agency licensure requirements, confidentiality statutes, third party payer rules, professional code of ethics, etc.;
- Exhibits excellent customer service, including answering telephones in a professional, courteous manner, expected usage of scheduling procedures and voice mail systems, and relaying messages with accuracy and promptness.
- Maintains effective relationships with co-workers and clients based on courtesy, compassion, and respect.
- Responsible for other duties, as assigned, consistent with established policy and procedure.
- Receives and contacts family in the referral process; schedules intake appointments and/or interpreter requests.
- Manages and orders supplies, printed materials, etc. as needed by the program.
- Assist Local System Manager with client financial information and insurance checks.
Required Knowledge, Skills, and Abilities:
Ability to communicate clearly and effectively, both verbally and in writing. Knowledge of office procedures, office equipment, and computer programs. Experience with filing and general record keeping in a medical setting. Knowledge of confidentiality processes. Ability to work independently, set priorities, and multi-task, while paying attention to detail. Good interpersonal skills and the ability to work effectively as a team member and with a wide variety of community agencies.
Additional Requirements:
- Valid Driver’s License with acceptable record.
- Background check with favorable results.
- Additional training as required

Work Environment: Office with lighting levels, temperature ranges, air quality, ventilation and noise levels as provided in each setting.
Work Location: 463 E. Washington Street, Harrisonburg
Work Hazards: Minimal hazards associated with rehabilitation programs.
Work Schedule: Monday through Friday, regular office hours; some evening and weekend hours required as scheduled. Additional hours as needed to perform job requirements. Regular attendance is required.
HIPPA Level Access 3: Read-only access to protected health information (PHI), limited to minimum necessary, and full read/write access to demographic and financial information, limited to the minimum necessary, for all clients as part of staff provision of support services in agency health care operations. Staff at Level 3 are allowed to seek out client PHI as necessary to perform assigned duties, but are expected to exercise due precautions to avoid exposure to PHI which is not necessary to perform these assigned duties. Utilization of information will be in accordance with HIPAA regulations regarding use limitation, disclosure and requests of PHI.
