Job Summary

The Foundation seeks a dynamic individual interested in working with a leading private foundation to assist with program administration and communications efforts. The Program Assistant (PA) will support staff with the administration of the Foundation’s grants and fellowships, as well as events, conferences, and publications. The ideal candidate for this position is proactive, well organized, highly motivated, and able to multi-task.

The PA will be a key member of a small, mission-driven team and will have opportunities to take initiative in research areas. This role is an excellent opportunity to experience various aspects of program implementation and communications strategy in a dynamic non-profit work environment.

The PA will report directly to HFG’s Senior Program Officer and work collaboratively with the Foundation’s leadership, program and communications staff.

Responsibilities

Program.

  • Monitor and coordinate workflow in online grants management system.
  • Review grant applications with program staff.
  • Maintain communication with current and former grantees involving progress updates, reports, and requests for grant modifications.
  • Oversee communication with prospective grantees.
  • Support programmatic workshop, event and conference preparation and implementation.
  • Occasionally accompany program staff to domestic or international convenings.

Administrative.

  • Monitor incoming mail and make preliminary decisions as to appropriate action.
  • Organize and maintain paper and electronic files.
  • Manage programmatic, editorial, and events calendars.
  • Lead the maintenance of HFG’s contact database.
  • Support administrative audit, and other finance-related tasks.
  • Communications and Outreach.

  • Assist in planning and roll-out of e-newsletters.
  • Assist in updating organization website with current events, relevant news, etc.
  • Occasional assistance in the maintenance of HFG’s social media presence
  • Support outreach strategies.
  • Qualifications and Experience

  • Undergraduate / Bachelor’s degree required.
  • Prior work or academic experience within or directly relevant to a field of violence, in research, writing, or programmatic position, required.
  • Ability to engage in occasional work travel, including internationally.
  • Skills

  • Strong writing, editing, and communication skills.
  • Excellent organizational, analytical, and interpersonal skills.
  • Solid knowledge of Microsoft Office.
  • Ability to work well both independently and within a team.
  • A firm grasp of the organization’s mission.
  • Experience working with : GoogleDocs and Slack.
  • Familiarity with WordPress.
  • Familiarity with Mailchimp.
  • Familiarity with Facebook, Twitter / X, LinkedIn and YouTube, a plus.
