Overview
We are looking for a driven project coordinator who is committed to helping our clients and trades through successful project completion. We want our clients to have an exceptional experience working with Hartford Home Design, and this role is essential for keeping project timelines and budgets on track. This position requires strong organizational skills, effective communication, and a solid understanding of logistics operations. You will be responsible for coordinating various aspects of logistics and procurement
:
- Provide exceptional communication to our clients and vendors
- Review construction documentation, ensuring necessary details are clear and accurate
- Initiate, prepare, review, and track estimates, scope of work, and timelines for clients
- Schedule trade day with vendors
- Follow up with vendors for accurate estimates, scope of work, and timelines
- Ensure the estimate, scope of work and timeline are final and accurate, preparing it to go to the client
- Preparing and sending the contract and necessary notices
- Coordinate signed proposals with principal design, clients, and vendors
- Provide weekly project updates to the client and internal team
Procurement
- Create quotes for decor and furnishing and material, checking for accurate pricing, quantity, finish, size, etc.
- Create purchase orders, send them to vendors, and ensure follow-through of order
- Continuous order tracking for items in the design management system
- Procurement of all quoted materials
- Quality assurance of items through inspecting deliveries, resolving defects
Project Management
- Maintain project timeline, including keeping the timeline up to date, anticipating and scheduling next steps, and communicating with project trades, vendors, and clients
- Maintain and monitor project budgets
- Field phone calls and emails from homeowners, internal team, and subcontractors and answer questions or direct them to the appropriate party
- Coordinate project permit submissions
- Update construction schedule based on project team input, Trade Contractor progress, and materials delivery
- Document and maintain scope boundaries and change orders
- Travel to job sites to check on progress, and capture photos of in-progress projects

- Proficiency in Google Suite
- Proficiency in project management systems such as asana, design files, or coconstruct

- Have a reliable vehicle and driver's license
Job Types: Full-time, Part-time
Pay: $20.00 - $24.00 per hour
Expected hours: 30 – 40 per week
