Position Overview
We are seeking a detail-oriented and customer-focused Project Coordinator to join our operations team. In this role, you will be the primary point of contact for customers throughout their journey with Hartley Botanic, ensuring seamless communication, coordination, and execution of their greenhouse projects. You will work closely with sales, operations, and design teams to deliver an exceptional client experience while managing project timelines efficiently.
Key Responsibilities
- Maintain consistent communication with customers through weekly, bi-weekly, and monthly follow-ups.
- Serve as the primary liaison between clients and internal teams, addressing inquiries and connecting customers with the appropriate contacts.
- Collaborate with sales executives to align project timelines with customer expectations.
- Coordinate installation and delivery schedules in a strategic manner to optimize efficiency.
- Manage and update reports daily to ensure accurate project tracking.
- Work with the operations team to arrange shipments, ensuring structures are transported efficiently to meet installation deadlines.
- Liaise with the UK-based sales and design teams to ensure customer plans meet both company standards and client expectations.
- Communicate with the sales team regarding customer needs and required documentation.
- Answer and direct incoming phone calls professionally and efficiently.
- Participate in operations meetings and contribute to process improvements.
Qualifications & Experience
The ideal candidate will have:
- A minimum of one year of customer service experience.
- Experience in construction or a related industry, with the ability to read blueprints (preferred).
- Strong verbal and written communication skills, with confidence in speaking directly with clients.
- The ability to proactively resolve issues and facilitate solutions between customers and production teams.
- A professional, approachable demeanor with the ability to interact effectively with individuals from diverse backgrounds.
