Overview:
Hartman Global IP of Valparaiso, Indiana, is seeking an Intellectual Property Administrative Specialist with expertise in all phases of U.S. and International Patent and Trademark Prosecution.
Responsibilities:
1. Maintain a large trademark docket – U.S. and International
A. Update Action Items; Cross Reference and File Dockets.
2. Work closely with attorneys to manage their dockets and support trademark filing and prosecution activities
3. Prepare, file, and docket U.S. and International trademark applications and prosecution action items.
A. Prepare and file Trademark Applications electronically.
B. Prepare and file Statements of Use and Extensions of Time.
C. Prepare and file Trademark Renewal Documents and 8&15 Affidavits.
D. Review and report Office Actions to Client; Prepare responses to Office Action for Attorney review.
E. File Responses to Office Actions; Prepare correspondence and invoice to Client reporting the filing of the Office Action.
4. Prepare and file Copyright Applications with materials at the Copyright Office.
A. Prepare correspondence and invoice to Client reporting the filing of the Copyright Application.
B. Review issued Copyright Registrations; Prepare correspondence to Client forwarding the original document.
5. Prepare and handle related formalities, such as declarations, powers of attorney, assignments, etc.
A. Send Power of Attorney documents, Assignments, Declarations to Client for review and signature.
B. Send executed documents to Foreign Agents.
C. File executed Assignments with the US PTO Assignment Branch.
6. Correspond with international firms and agents
7. Review and summarize Full Trademark Searches; Report results to Attorney.
8. Support litigation, as needed. Draft Cease & Desist letters for Attorney review, Send out Cease & Desist letters on behalf of the responsible Attorney;
9. Prepare and file TTAB documents, i.e.. Notices of Oppositions; Extensions to Oppose; Responses to Oppositions filed; Prepare and file Responses to Appeal Briefs.
10. Administrative Support for attorneys, as needed
11. Prepare and send out Provisional Patent Reminder letters to Client.
12. Prepare and send out Patent Maintenance Fee Reminder letters to Client.
13. Pay Maintenance fees through the US PTO website; Update docket; prepare correspondence to Client with Invoice.
14. Review Monthly Foreign Renewals; Prepare correspondence to Client regarding renewal fees; Correspondence to Foreign Agent requesting payment of the renewal fees.
Qualifications:
1. 3 years of relevant experience, including docketing a large global IP portfolio
2. Paralegal certificate preferred
3. Knowledge of USPTO and PCT processes and procedural requirements
4. Excellent communication and organizational skills with attention to detail
5. Ability to prioritize work, meet deadlines, and handle multiple projects
6. Proficiency in Microsoft Office Suite programs, including Word, Excel, PowerPoint, and Outlook
7. Proficiency in WordPerfect word processing preferred
