Accounts Payable Specialist

Job Description

Boutique Fairfield County-based property management company is seeking an Accounts Payable Specialist to become part of a team! You will be responsible for ensuring that a portfolio of Class A office, retail, industrial and multi-family apartment properties are maintained at the highest industry standards.

Accounts Payable Specialist Responsibilities

Responsible for managing company's financial transactions related to vendor and credit card payments, ensuring all bills are processed accurately and paid on time by verifying invoices, reconciling discrepancies, preparing payments, and maintaining accurate financial records, consistent with company policies and procedures.

• Invoice Processing - Review invoices for accuracy, including matching them to purchase orders, verifying pricing and quantities, and ensuring proper approvals
• Discrepancy Resolution - Investigate and resolve invoice discrepancies with vendors such as price errors, quantity mismatches, or missing documentation
• Data Entry - Input invoices into the accounting system, including vendor details, invoice amounts, and payment due dates
• Payment Processing - Prepare payment batches, including generating checks or electronic payments, based on due dates and payment terms
• Vendor Statement Reconciliation - Match vendor invoices to their statements to ensure accurate account balances
• Account Maintenance - Update vendor information and maintaining accurate vendor records
• Reporting - Generate reports on accounts payable aging, outstanding invoices, and potential cost savings
• Compliance - Adhere to company policies and procedures related to accounts payable, including internal controls and tax regulations

• Ability to prioritize tasks and meet deadlines
• Proficiency in multiple accounting software platforms and Microsoft Excel
• Basic understanding of accounting principles
• Excellent communication and interpersonal skills

Education, Experience, and Licensing Requirements:

• Bachelor’s or Associate degree
• Minimum 5 years experience in accounts payable position
• Experience in working with multiple legal entities under different legal umbrellas
