What are the responsibilities and job description for the Front Desk Medical Receptionist position at Harvard Eye Associates?
This individual is responsible for receiving patients into the practice, checking them in for their appointments, gathering/updating insurance, and demographic data, collecting and applying payments, ensuring referrals/ authorizations are obtained and correct, verifying eligibility and benefits, checking patients out/scheduling additional appointments per the treating doctor’s treatment plan, and batching out correctly at day’s end.
This position will be located in two locations: Laguna Hills and Orange.
Duties and Responsibilities:
- Opening the office at the start of the day
- Performs check-in duties: greets patients and other visitors in a polite, prompt, professional manner.
- Provides instructions/ directions. Informs appropriate staff members of patient’s/visitor’s arrival.
- Ensures all patients are processed/seen and communicates wait times.
- Cleans/tidies/stocks all reception/waiting areas throughout the day.
- Gather and enters into EPM all appropriate/ required patient demographic and insurance information (for both new and established patients).
- Provides required information (i.e., Notice of Privacy Practices) and obtains the required signatures.
- Obtain and scan insurance cards and photo ID, ensuring correct and complete information is attached to the correct patient’s electronic chart.
- Ensures required authorizations/referrals are obtained.
- Completes EPM check-in process to ensure accurately kept/no-show appointment data. Scans documents into the appropriate location in NextGen.
- Prepares for appointments 1-3 days in advance by verifying insurance eligibility and benefits, obtaining insurance authorizations/referrals, printing fee tickets, and obtaining relevant medical records from external providers.
- Contact patients proactively when unable to verify insurance and for whom we receive authorizations/referrals to schedule appointments.
- Performs check-out duties: accurately posts, collects, and applies patient financial obligations, runs credit cards, obtains signatures, provides receipts to patients.
- Schedules/coordinates patient appointments per the provider’s treatment plan. Create a “recall plan” if the provider-recommended appointment is not scheduled at check-out.
- Performs batch-out process at day’s end. Ensures batch reports, receipts, and all fee tickets are provided to the Billing department daily.
- Closing office at the end of the day.
Minimum Education and/or Experience:
- High School diploma or GED required.
- One year of experience in a medical office (ophthalmology experience preferred) or three years of experience in customer service required.
Required Skills/Knowledge:
- Excellent verbal and written communication skills
- Excellent customer service skills
- Ability to multi-task and work in a fast pace environment
- Managed Care experience
- Proficiency/experience with EPM/EHR strongly preferred, NextGen EPM/EHR preferred
- Strong organization skills and attention to detail
- Ability to work as a team member
- Able to type 40 WPM
- Knowledge of Medical Terminology, CPT, and ICD codes preferred
Hours: This position generally requires the employee to be available to work Monday through Friday. 7:30 am and 6:00 pm, the schedule will depend on if you open the clinic or close the clinic.
Location: This position will work in two clinic locations. Orange and Laguna Hills.
$17.00- $20.00 depending on experience.
