Job Summary
The faculty assistant position performs a wide range of highly skilled administrative duties for one or more faculty or an academic unit/department. Executes, with proficiency, a broad range of technical systems in supporting teaching and research. Prioritizes multiple tasks in a competing environment (i.e., multiple faculty).
Position Description
Collaborate with fellow Faculty Assistants on projects and departmental activities. Provides direct administrative support for the Director of Operations & Administration at ASG.
Manage faculty calendars. Assist with Concur reimbursements, and corporate card payments. Occasional booking of travel and/ or arranging catering.
Assisting with setup and maintenance of course and faculty Websites.
Updating lecture and course materials.
Proofreading and editing correspondence.
Coordinating and sending letters of recommendation and other mailings.
Providing timely information on university and local policies and Procedures.
Ordering printing services for business cards, stationery, etc.
Providing complete course support, working with faculty and teaching assistants, procuring readings, printing hand-outs.
Conducting library research and pickup/ delivery of books and other materials.
Providing other office support including composing and editing letters and reports, answering correspondences, maintaining office supplies, coordinating maintenance of physical space and equipment.
Basic Qualifications
High school degree with minimum of 3 years or more of administrative experience required.
Additional Qualifications and Skills
Bachelor's degree preferred.
Advanced knowledge of Microsoft Office (Excel, Word, and Outlook) and web-based applications.
Demonstrated experience in project management/coordination.
Strong ability to communicate clearly/succinctly in both written and oral form.
Strong ability to prioritize work in an environment with multiple and conflicting interests.
Knowledge of Harvard’s financial systems, such as Concur and Buy2Pay.
Understanding of Harvard’s travel policy.
Ability to handle complex and confidential information with discretion.
Excellent time management and organizational skills; attention to detail.
Ability to work independently and as part of a team in a fast-paced office environment.
Communicating transparently and respectfully; and fostering an inclusive, respectful, and professional work environment.
Demonstrated experience working across teams.
