Job Summary
The position requires individuals to work independently with minimal supervision and to work effectively as part of a team. Unit Coordinators must have outstanding organizational skills and meticulous attention to detail; an ability to communicate effectively and professionally; demonstrated initiative and willingness to continuously develop new skills; and an ability to work with multiple supervisors and manage competing priorities, meet deadlines, and follow through on projects. The position requires a strong customer service orientation, good judgment, and flexibility. The ability to handle confidential material with tact and discretion is essential. Strong technical skills are required. Overtime may be required.
Position Description
- Works with faculty to ensure smooth delivery of first year, required courses, elective courses, and provides direct course delivery support including logistics for complex exercises and simulations.
- Manages the administrative process for faculty recruiting: distribution of candidate material, planning and coordination of visits, and compliance with recruiting guidelines.
- Organizes and plans logistics for seminar series, research conferences and other unit events.
- Assists with the administrative process for doctoral recruiting.
- Oversees teaching, research, course development mentoring observations, and assists with identifying and tracking field research opportunities.
- Builds strong relationships with stakeholders, including faculty, staff, and external partners to promote cohesive unit morale.
- Proactively assists colleagues and acts as a mentor to Faculty Support Specialists.
- Coordinates support with Faculty Support Specialists and Senior Faculty Support Specialists to complete large scale unit projects.
- Assists Unit Head with process for multi-year unit faculty assignment planning.
- Keeps current on Havard Business School (HBS)/University initiatives; is information source on activities of faculty, unit, HBS and is unit’s liaison with internal and external contacts.
- Assists with identifying administrative support workload to balance needs within unit.
- Manages unit calendar, budget; assists with unit space planning and coordinates maintenance and improvements of the space as needed.
- Manages unit web presence, maintains files/archives.
- Handles complex, confidential materials.
- Provides support to faculty and/or other projects on a short-term and long-term basis based on business needs.
- May assist in identifying new technologies to improve office productivity, enhance teaching/research initiatives.
- Responsible for other duties as assigned.
Basic Qualifications
- High School Diploma or GED required.
- Minimum 5 years of experience with 3 years high-level administrative support experience is required.
- Education beyond high school may count toward experience.
- Microsoft Office (Word, Excel, PowerPoint, etc.), or similar suite of programs such as those from Google and Apple, as well as Adobe Acrobat and Zoom experience are a must.

- Excellent communication, interpersonal, organizational, project management, analytical, writing, and editing skills.
- Proven ability to take initiative, work independently, manage multiple projects simultaneously, handle confidential information with discretion, and work well under deadlines.
- Ability to learn, teach new software and stay current with various technologies.
- Proficient in navigating and using major social media platforms for basic content creation, audience engagement, and trend analysis.
- Ability to develop an understanding of and stay up to date on the academic research of the unit.
- Willingness to work in a collaborative work environment supporting a variety of faculty colleagues, and changing assignments based on business needs.
- Ability to adapt quickly to changing staff assignments, responsibilities and tasks.
Additional Information
This is a hybrid position which we consider to be a combination of remote and onsite work at our Boston, MA based campus. HBS expects all staff to be onsite a minimum of 3 days per week and departments provide onsite coverage Monday – Friday. Specific hours and days onsite will be determined by business needs and are subject to change with appropriate advanced notice.
