Logistics & Work Environment :
This is a full-time position based at our Midlands (Columbia) branch, with a regular schedule of Monday through Friday 8 : 00am to 4 : 00pm, totaling 37.5 hours per week.
The role involves traveling 2-3 days per week and may occasionally require responding to organizational needs outside of normal working hours. Flexibility and commitment to supporting our mission during critical times are essential in this role.
A Day in the Life :
The Summer Food Service Program (SFSP) Coordinator will oversee all aspects and compliance of the Harvest Hope SFSP network including, but not limited to, maintaining current program standards, as well as expanding program and partner base, pre-site inspections, accurate data collection, report retention, audit information, meal counts, and others as applicable to maximize partner relationships and resources and ensure compliance with HHFB, SCDE, USDA and Feeding America standards. The primary objective of this position is to ensure that food-insecure children are being provided fresh, nutritious food across our 20-county footprint for our summer program locations.
- Identify eligible sites depending on the soil of the location and the children being served, leading to speculations about whether a site qualifies as open or closed .
- Conducts site visits and assesses site suitability, including safety, accessibility, and availability of necessary resources. Including initial visit, site review, and follow-up visit.
- Outline program goals and objectives.
- Establish clear policies and procedures for meal service, record-keeping, and staff training.
- Tracking meal counts helps assess the program's reach and effectiveness in providing meals to children in need.
- Accurate meal counts and analyzing meal count data over time can help identify trends, such as decreasing attendance, which may indicate a need for adjustments to program operations or outreach efforts. Any discrepancies or inconsistencies will be investigated and resolved.
- Implement strategies to avoid double-counting, such as using sign-in sheets or other methods to track individual participation.
- Develop a plan for monitoring and evaluating program performance.
- Staff Training, conduct mandatory training for all site staff on program regulations, food safety, child nutrition, and record-keeping, provide ongoing training and support throughout the program.
- Develop and implement a system for tracking meal participation, attendance, and other required data.
- Ensure that all data collected through the QR code system is handled securely and in compliance with all relevant privacy regulations.
- Ensure accurate and timely record-keeping to comply with program regulations and facilitate monitoring.
- Ensure that meals meet USDA meal pattern requirements in terms of quantity, quality, and variety. Monitor food safety and sanitation practices at all sites.
- Analyze program data to assess program effectiveness and identify areas for improvement and prepare a comprehensive program evaluation report.
- Follows up on all communication points within a 24-hour window.
- Proficient understanding of Microsoft Excel.
- Plans, implements, and evaluates Harvest Hope's summer food service program implementation strategies to include, but not limited to program compliance, growth, structure, recruitment, training, and all service initiatives with both internal and external stakeholders.
- Develop and maintain relationships with current and potential program partners to market products and services to expand network capacity, capability, and reach.
- Coordinates with other departments in our programs' ongoing development and maintenance.
- Build positive relationships with co-workers and ensure cohesiveness in program implementation across all branches and departments.
- Empowers and trains staff and / or volunteers to work effectively and respectfully with partner programs and agencies and ensures the team embodies the spirit of working with partner agencies and communities.
- Handles complaints professionally, working to find mutually beneficial solutions to problems and challenges.
- Ensures that program partners always comply with key non-negotiable standards as determined by Harvest Hope, USDA, Feeding America, or other relevant contractual stakeholders.
- Ensures that Harvest Hope has a compliance, monitoring, and documentation system that works effectively.
- Other duties as assigned.
