Regional Scheduler
Job Description – HAS Incorporated
Reports to: HR Director
Overview:
The Regional Scheduler ensures optimal staffing coverage across the region, maintaining up-to-date schedules and coordinating with leadership to manage staff availability. This role is essential in supporting continuity of care and ensuring compliance with training and coverage protocols.
Key Responsibilities:
- Maintain daily and monthly staff schedules using 7Shifts or similar scheduling software.
- Post and update schedules promptly; notify staff of schedule changes, shifts, and meetings.
- Respond to call-outs and emergencies as on-call contact, ensuring shift coverage at all times.
- Approve/reject shift bids and PTO requests while minimizing overtime.
- Schedule staff for required training (MANDT, Med Cert, CPR/First Aid, Orientation, etc.).
- Track and schedule participant 1:1 time & ensure all client time matches employee punches.
- Ensure employees meet all time-clock punch regulations and DOL compliance.
- Coordinate with regional team for new hire schedules and staffing needs.
- Ensure shifts are covered during trainings, appointments, and staff absences.
- Keep master schedules updated and aligned with regional needs.
Requirements:
- Experience with scheduling systems (7Shifts, ADP, etc.).
- Excellent time-management and communication skills.
- Availability to be on-call and respond to urgent staffing needs.
- Strong organizational and problem-solving abilities.
- Experience in healthcare or a regulated care environment preferred.
Key Indicators of Success:
- Schedule Coverage: 100% of shifts are covered and published on time.
- Response Time: Schedule changes and urgent issues addressed within 30 minutes (on-call).
- Overtime Management: Regional overtime stays within target limits (<5%).
- System Accuracy: 7Shifts and master schedules are updated in real time.
- Staff Coordination: New hires are scheduled within 48 hours of notice; no overlap or conflicts with training.
- Training Alignment: Zero missed med passes or training conflicts due to scheduling gaps.
40 Hours a week.
Some on-call as needed
Monday - Friday
9am - 5pm
