POSITION DESCRIPTION

TITLE : Unit Secretary ( OSHA Classification 2)

FLSA : Non-exempt

POSITION SUMMARY : Responsible for assisting residents with all social and emotional issues relating to placement in a nursing facility and all other aspects of his / her life.

TITLE OF SUPERVISOR : Director of Nursing

TITLE OF IMMEDIATE SUBORDINATES :   N / A

POSITION REQUIREMENTS - Education / Experience

Experience in health care setting.

Preferably a high school graduate or equivalent.

Ability to read, write and comprehend English; ability to follow oral and written instructions.

Fluent knowledge of word processing (including Microsoft Office) and other office equipment helpful.

Ability to work hours as scheduled based on the requirements of the position assignment.

Working Conditions : Works in an appropriately lighted and ventilated environment.

Physical Requirements :

Must be able to move intermittently throughout the day, proper body mechanics required - bending, stooping, turning, stretching, and reaching above the shoulders are involved.

Must be able to see and hear or use prosthetics / equipment that will enable these senses to function adequately to assure that the requirements of this position can be fully met.

Must be able to lift a minimum of 25 lbs.

TECHNICAL COMPETENCIES

5. Understands and upholds the Resident’s Bill of Rights and holds all resident information confidential.

6. Follow and comply with all State and Federal regulations as well as established Personnel Policies and Procedures.

7. Maintain all pertinent records in a timely, efficient, and confidential manner.

8. Project a professional image always.

ESSENTIAL FUNCTIONS

Schedules appointments with physicians or outside agencies and completes necessary paperwork to accompany residents.

Schedules lab test including in-house X-rays and makes out appropriate lab slips.

Faxes communication to physicians as directed by charge nurse.

Maintains physician rounds book and generates physician compliance calendar.

Stocks and maintains medical supplies in medication room nurses conference room and monitors for neatness and overstocking.

Maintains consultant records for residents and schedules consulting physicians visit in cooperation with charge nurses.

Answers telephone, relays message and relieves receptionist for break / lunch.

Prepares for new admissions by following admission checklist. Completes necessary clerical duties related to admission and discharge of residents.

Organizes discharges charts and ensures they are complete; files medication and treatment cardexes; keeps all charts in order and thinned as appropriate.

Assists in developing procedures to ensure records are properly completed, signed, indexed, etc. before filing.

Performs misc. duties pertaining to medical records and assists business office personnel as required / directed.

Completes assigned duties on nursing units as directed by Charge Nurses.

Performs other related duties and attends meetings as may be deemed necessary by Supervisor / Administrator and or Director.
