Job Summary:
Serves as primary coordinator for Company’s (approx. 1000 employees) employee benefits (including group medical, dental, vision, & long-term disability coverage and 401(k) eligibility/enrollment; primarily responsible for enrollment/termination of employees’ benefits through payroll accounting system & benefits enrollment system (Employee Navigator) and annual coordination with insurance & 401(k) brokers during open enrollment periods; additional responsibilities include monitoring/managing monthly insurance carriers billing (including reinsurer claims submissions), calculating intercompany group insurance billing based on actual employee payroll census, supporting annual audit & compliance activities (Form 5500 audit/submission, 1095c filings, EEO-1 reporting, etc.), attending & supporting periodic meetings with benefit providers/carriers as needed, and educating/advertising to employee population regarding benefits offered. This role reports directly to Company controller and works heavily with Company payroll manager, AP clerk, & facility-specific business office staff/managers.
Requirements / Qualifications:
Minimum high school diploma or equivalency; previous experience in payroll / benefits position (> 1 year); previous experience with ERP or payroll application for small to medium sized businesses (SMBs) (i.e. Dynamics GP, etc.) (> 1 year); must have excellent email and telephone communication skills; must be able to multi-task with minimal supervision; must have basic skills with Microsoft Office suite tools (including Microsoft Excel) and file management.
Preferred Qualifications/ Experience:
Previous experience in benefits coordinator position with multi-location enterprise with 500 employees; previous experience with Dynamics GP (ERP system) or similar system; previous experience with Employee Navigator or similar; previous experience in healthcare and long-term care industries or similar.
Duties and Responsibilities:
- Enters employee enrollments & terminations into payroll accounting system (GP Dynamics) & benefits management site (Employee Navigator)
- Maintains filing paperwork/backup for enrollment & elections for specific entities
- Prepares/records AP billing & payments to 401(k) plan for each pay period
- Prepares AP intercompany billing invoices for group insurance plan premiums based on actual employee payroll census data
- Manages and monitors insurance carrier fees/premiums billings & reconciles to actual employee payroll census (including communicating billing errors with brokers/carriers as needed)
- Manages reinsurer claims process for self-insured group medical plan as needed (processing claims & paperwork alongside carrier reps/brokers)
- Coordinates & actively plans for annual/semi-annual benefit open enrollment including any advertising / educating at each facility in Company Plan
- Serves as the primary point of contact for annual Form 5500 ERISA 401(k) audit & submission process; includes answering audit requests & submitting required documentation/support
- Prepares & submits annual 1095c IRS filings
- Prepares & submits annual ‘EEO-1’ reports to EEOC
- Maintains & updates information regarding benefits package summary information including insurance rates & eligibility & COBRA benefits/rates
- Coordinates with COBRA eligible former employees & 3rd party COBRA administrator for COBRA enrollment/eligibility process
- Drafts and/or updates spreadsheets, letters, & emails using Microsoft Office tools (Excel, Word, Outlook) independently as part of normal job duties
- Maintains strict confidentiality of personnel matters, personal health information (PHI), and other proprietary information
