The Accounting Assistant supports the company by providing information and resources to allow for efficient accounting operations. Under the direction of the Regional Controller, this role offers a high- level of accounting support including billing preparation, project administration and a reliable support resource for the Branch location.


Key Responsibilities:

Support:

  • Assist the Regional Controller in the successful execution of branch accounting and operational functions.
  • Quickly react to accounting issues as they arise and partner with the Regional Controller to handle concerns.

Billing and Sales:

  • Serve as the point of contact for billing and sales questions, procedures, and project updates.
  • Partner with the administrative team to resolve billing and sales inquiries.
  • Manage all T&M billing procedures according to the project schedule timeline.

Document Management:

  • Maintain estimating software.
  • Credit card tracking and coding.
  • Monitor accounts receivable and collections.

Administrative Support:

  • Provide backup for the estimating department, Office Coordinator, and Purchasing Manager by providing pricing guidance, maintaining accurate information for the branch estimate log, processing cash receipts, issuing paychecks, and processing layoff requests.
  • Collect and organize data for project initiatives and initiate change requests and change orders for the project management team.
  • Weekly payroll-time entry.
  • Support the Regional Controller with Experian requests, Certificate of Insurance, and W-9 Forms.
  • Assist controller with other administrative and accounting tasks as needed.

Qualifications:

  • Proven experience in accounting, billing, or a related administrative role.
  • Strong organizational and communication skills.
  • Ability to work collaboratively with various internal departments.
  • Detail-oriented with the ability to manage multiple tasks simultaneously.
  • Proactive problem-solving skills and a high degree of accuracy.

Preferred Skills:

  • Experience in the construction or project management industry.
  • Knowledge of job costing and project billing procedures.
  • Familiarity with Experian requests, Certificate of Insurance, and W-9 forms.
  • Proficiency with accounting software, particularly the Spectrum system.

Work Environment:
This job mainly operates in an office setting using standard office equipment such as computers, phones, and photocopiers.

**Please note this job will be in Mt. Laurel for 3-6 months and then will be moving to Hamilton, NJ.**
